Job Description

UW–Milwaukee’s Department of Human Resources is seeking a highly organized, proactive Administrative Assistant III to provide comprehensive administrative and operational support to the Associate Vice Chancellor & Chief Human Resources Officer and Associate Vice Chancellor & Chief Financial Officer. This position also serves as the office manager for both the Human Resources and Business & Financial Services departments, acting as a central point of contact for internal and external stakeholders and ensuring smooth day‑to‑day operations

Key Job Responsibilities:

  • Schedules logistics and secures resources for meetings, conferences, travel, and work unit operations 

  • Serves as a primary point of contact for internal and external stakeholders, provides organizational information via phone, in person, e-mail, and other communication mediums 

  • Prepares and audits complex records, edits documents, and reviews work done by others 

  • Develops, sends, receives, copies, and distributes communications to the appropriate entities according to established policies and procedures 

  • Develops, implements, and maintains methods and organizational systems directed at the maintenance of electronic/physical records related to work operations according to established policies and procedures 

  • Updates and maintains departmental websites or online platforms to ensure content is accurate, timely, and compliant with relevant policies, procedures, and standards 

  • Maintains relevant expenses and invoices for managing departmental purchasing card 

  • Exercises discretion and solves routine problems independently  

  • Monitors and orders department supplies 

  • Adheres to State of Wisconsin records management and retention requirements 

  • Maintains confidentiality and handles sensitive information appropriately 

  • Completes all other duties as assigned

Additional Information:

Minimum Qualifications

  • High school diploma or equivalent
  • Two or more years of administrative support experience in a professional office environment
  • Experience preparing, editing, formatting, and maintaining records, reports, or official documentation in accordance with established procedures
  • Experience coordinating meetings, events, or travel logistics and supporting day-to-day office operations
  • Experience providing customer service and communicating with diverse internal and external stakeholders while managing multiple priorities in a professional setting

Preferred Qualifications

  • Associate or bachelor’s degree in business administration, human resources, communications, public administration, or a related field
  • Three or more years of progressively responsible administrative experience supporting multiple leaders, departments, or functional areas
  • Experience managing purchasing card transactions, reconciling expenses, or processing invoices in accordance with organizational policies or procedures
  • Experience maintaining electronic or physical records in accordance with records management or retention policies
  • Experience updating or maintaining departmental websites, intranet pages, or content management systems (CMS)
  • Experience using enterprise systems (e.g., Workday or similar ERP systems) to support administrative processes
  • Experience working in a higher education institution, government agency, or other large, complex organization

Target Salary Range

$50,000 to $60,000 (Final salary offer will be determined based on knowledge, skills, and experience)
