We are currently seeking an experienced and highly organized Department Human Resources (HR) Specialist, Sr., to join our team! As the Dept HR Specialist Sr., you will play a crucial role in managing various HR functions for Educational Outreach and Student Services (EOSS). These functions include, but are not limited to, recruitment and staffing coordination, payroll management, maintenance and retention of unit personnel files, internal controls and compliance, and other functions as designated by the unit administrator. This position will work directly with Senior Leadership and, as such, will be responsible for a high level of professionalism, work ethic, and work completion with minimal errors.

The work location is primarily onsite at the Tempe campus; however, the incumbent may be required to travel to on-campus events to perform work, driving their own vehicle.
This is a full-time, in-person position, with a standard schedule of Monday through Friday from 8:00 am to 5:00 pm
ESSENTIAL DUTIES:
HR Operational Support
Manage multiple high-priority HR and operational activities requiring significant coordination, accuracy, and follow-through to meet leadership and organizational needs.
Partner with the Senior leadership team to provide comprehensive HR support related to recruitment, employee changes, workforce planning, and strategic HR initiatives.
Coordinate leadership requests and ensure accurate, timely processing of HR actions by exercising critical thinking, sound judgment, and proactive communication with stakeholders.
Compose and prepare correspondence and communications for senior leadership on HR and organizational matters
Collaborate closely with other professional staff to ensure seamless coordination and consistent HR support across executive functions.
Manage full-cycle recruitment for the department
Collaborate with units to evaluate departmental staffing needs, including analysis of positions and salaries
Process requisitions, monitor progress, and assist units with candidate selections to achieve timely candidate updates and department hires
Provide support to departments with the recruitment process from inception through hire and onboarding assistance
Collect all required documents as required by ASU policies and maintain HR Compliance
Act as liaison between area leadership, departmental HR, and Office of Human Resources (OHR) through the recruitment process
HR Transactions
Process high-volume current employee changes that can include promotions, reassignments, salary changes, supplemental/additional payments, and terminations
Ensure timely submissions and approvals for Human Resource transactions in accordance with ASU policies, ensuring compliance
Payroll
Collaborate with units to ensure accurate submission and approval for all staff time entries and exceptions; resolve payroll discrepancies and act as liaison between the unit and OHR to reach a solution.
Serve as the primary point of contact for payroll inquiries, collaborating with OHR as needed to provide additional assistance.
Respond to internal and external audit requests and prepare audit documents for payroll reconciliations; will work collaboratively with the financial team.
Additional Duties:
Provide leadership support throughout the employee life cycle by serving as a resource for ASU policies, procedures, and available tools; provide access to accurate information and guidance related to hiring, onboarding, performance development, and offboarding.
Connect and collaborate with department administration and the central OHR Benefits office to coordinate staff and student benefits and leaves of absence.
Participating in a variety of departmental and university-wide initiatives and meetings to represent the unit’s interests in human resources and to ensure integrative/collaborative support of college and university interests.
Performing other duties as assigned to ensure the continuity of department operations and to meet customer service needs.
DESIRED QUALIFICATIONS:
Knowledge of the recruitment life cycle with extensive detail.
Demonstrated knowledge and use of Excel, Outlook, MS Word, Google Docs, and AirTable.
Experience with high-volume transaction processing.
Experience providing high-level HR and operational support to senior leadership teams.
Demonstrated ability to manage multiple high-priority projects with accuracy, discretion, and follow-through.
Evidence of strong analytical and critical-thinking skills with sound judgment in complex or confidential situations.
Experience composing and preparing professional correspondence and communications for senior leadership.
Demonstrated ability to work effectively and collaboratively with internal and external stakeholders, including faculty, staff, leadership, and students, to ensure consistency and alignment in HR processes and initiatives.
Demonstrated ability to coordinate and execute HR actions requiring cross-functional communication and proactive problem-solving.
Evidence of effective communication skills.
Knowledge of applicable federal, state, and regulatory requirements, laws, and standards.
Knowledge of Human resource practices, regulations, and standards.
Experience in working in a Higher Education establishment
Experience with Workday HR software (Workday)
Experience in planning and establishing priorities.
Experience in working effectively in an environment subject to quickly changing priorities, sensitive/confidential information, and short deadlines.
Experience in leading by example in communicating, participating, and encouraging support for the institution's sustainability programs.
