The College of Integrative Sciences and Arts Dean’s office is seeking a Department HR Specialist, Senior to join our team. As a Department HR Specialist, Senior, you will work closely with the HR Team, faculty heads and leadership to understand the human resource needs in supporting the life cycle of the college employee base. This position will report to the Dept. HR Principal in the College of Integrative Sciences and Arts and is located at the Polytechnic Campus.
Essential Duties
Recruitment, Hiring and Position Changes:
Coordinates the recruitment and hiring process for all positions in assigned CISA units. Works with hiring supervisors and committees to facilitate the search process using established guidelines and processes to the completion of recruitment.
Utilizes Workday and Interfolio to manage and process faculty, staff, and student hiring.
Prepares correspondence associated with and necessary for hiring employees or documenting changes in position, and processes it accordingly.
Payroll:
Manages payroll for assigned CISA units to ensure accuracy of payroll information, including position and funding changes.
Assists with on-cycle payroll bi-weekly review and investigates payroll discrepancies to confirm correct and timely payments.
Manages Time and Scheduling Hub (formerly DTA) for assigned units to ensure accurate and timely recording of exceptions and time reporting.
General:
Processes a wide range of personnel transactions using Workday.
Manage and process time and scheduling hub (formerly DTA) and processes for the assigned college areas and timesheet entries for employees on leave.
Assist with academic personnel actions.
Ensures the maintenance of electronic personnel records based on college, university, state and federal guidelines.
Coordinate staff and faculty visa applications and renewal processes for assigned CISA units.
Regularly responds to a diverse range of questions from faculty, staff and students by phone, email, and in person.
Participates in a variety of departmental, college, and university-wide initiatives and meetings to represent human resource interest.
Take responsibility for fostering a positive work culture, advancing our values, and championing engagement in all its forms.
Performs other duties as assigned to support the needs of the CISA HR team.
Desired Qualifications
Experience in human resources. practices, regulations and standards.
Experience with faculty, staff, and student personnel actions.
Experience working in HR higher education environment.
Experience in payroll transactions.
Experience with visa applications, renewals, FMLA and ADA leaves.
Experience using the following software: Workday, Interfolio (APARS), Microsoft Office, Dropbox, Adobe and Wrike.
Experience in maintaining confidentiality regarding sensitive/confidential information pertaining to payroll and employee issues.
Knowledge of quality customer service standards, methods and practices.
Skill in planning and establishing priorities.
Evidence of a passion for innovative HR solutions and process improvement.
Working Environment
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse (75%); required to stand for varying lengths of time and walk moderate distances to perform work (10%).
Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds (5%).
Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
Ability to clearly communicate verbally, read, write, see and hear to perform essential functions; Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals. This position receives regular review of objectives by department administrator.
Hybrid work is an option for CISA employees. Hybrid arrangements are where employees spend a minimum of 60% of their regular workweek at their primary ASU work location. Dean or Provost level approval is required.
Department Statement:
This position is located at the Polytechnic campus and is a full- time, benefits-eligible position and may require travel to other ASU campuses as needed.
