Summary/Objective

The Employee Relations Specialists will support the field dealerships as assigned and assist the Human Resource Director with moderate to complex and specialized operational and administrative tasks including various employee relations matters, projects, initial fact finding and resolution liaison, reviewing and providing case statuses, summaries and related items, all to achieve high level client output and support.

Essential Functions

  1. Provides clerical support to the HR department, via maintaining accurate and up-to-date human resource files, records, and documentation.
  1. Serves as interface to answer and field frequently asked questions from managers and employees relative to standard policies, leave, concerns, hiring processes, etc.; refers more complex questions as appropriate to HR or Payroll Director, Business Manager or Controller as situation dictates.
  2. With HR Director’s support and knowledge, facilitates and begins inquiries and investigations into complaints or concerns identified verbally, in writing or through HR Hotline etc. and fully utilizes tools provided such as forms, guidance, and training.
  3. Maintains the integrity and confidentiality of human resource files, information and records.
  4. Proofreads, updates and types documents and correspondence produced by department to meet high standards of professionalism, detail orientation, accuracy and thoroughness.
  5. Assists and primarily facilitates in the review of processes required for paperwork/documentation processing related to coaching, counseling, disciplinary actions, separations and other related employee relation matters.
  6. Assist in on-boarding processes such as collecting I9 information, Employee Handbook acknowledgments, completion of new hire processes and training's facilitated by clients, etc.
  7. Review recruiting/coaching/retention source data to assist managers in improving recruiting techniques and utilizing all available tools.  
  8. Operates as HR Director’s and Business Manager’s resource as assigned for all organizational or employee necessities as relates but not limited to – Performance, Recruitment, Investigations, Inquiries, Concerns, Questions, and Compliance etc.
  9. Assists in administration and creation of employee relations programs/initiatives; primarily monitor the performance appraisal process when and where initiated.
  10. Coordinate, process and as needed initiate processing tasks related to federal leaves such as FMLA, ADA, USERRA administration.
  11. Facilitates and records exit or stay interview where upon called.
  12. Assist HR Director in organizational training and development efforts, creation and deployment.
  13. Participate in various corporate, administrative and mandatory weekly team meetings and attends other meetings and seminars as needed and/or assigned for development and training.
  14. Achieve other human resources and support related duties as required and assigned.
  15. Assists and/or facilitates the carrying out of various human resource processes and procedures for other dealerships wherein assigned or as business needs dictate and fluctuate.
  16. May assist in certain payroll data functions or auditing.
  17. Complete return to work (RTW) processes to include communicating with employees regarding RTW timeline and requirements, collecting documentation from employee or healthcare provider, ensuring RTW requirements are met, communicating RTW timeline with report to managers and Business Managers.

  5. Proficient with or the ability to quickly learn payroll management, human resource information system (HRIS), and similar computer applications.
  6. Relationship Management.
  7. Maintain Ethical and Consistent Practices case by case, task by task.
  8. Excellent organizational skills and attention to detail.
  9. Extensive knowledge of office management systems and procedures.
  10. Ability to operate general office equipment.
  11. Ability to type 40 WPM.
  12. Proficient in Microsoft Office Suites – particularly Outlook, Word, Excel, and PowerPoint.
  13. Ability to maintain confidential information at the highest level of discretion.

Supervisory Responsibility

This position has no supervision responsibilities.  

Work Environment

The employee regularly works in an office setting. Prolonged periods sitting at a desk and working on a computer.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is frequently required to sit, stand, walk, drive, talk, write, type and hear. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds at a time.

Position Type/Expected Hours of Work

This is a full-time onsite position. Standard days and hours of work are Monday through Friday, 8:00a.m. to 5:00p.m.

Travel

Local travel to various worksites is required and may be on daily basis with little notice as needed. At times overnight out-of-state travel required as HRD requests or if an assignment requires within any state our dealerships reside. 

Required / Preferred Education and Experience

High school diploma or equivalent required. Two years of administrative or human resource task experience at minimum. One to two years of experience in the HR field, or any similar combination of education and experience strongly preferred.
