Summary

The City of Port Washington is seeking a highly organized, professional, and experienced individual to serve as Executive Assistant to the City Administrator / Confidential HR Specialist. This dual-role position provides executive-level administrative support to the City Administrator while managing a range of confidential human resources functions. The ideal candidate will demonstrate integrity, sound judgment, and exceptional interpersonal and organizational skills—handling sensitive matters with the utmost discretion.

Example of Duties

Executive & Administrative Support

· Serve as the primary point of contact for the City Administrator, facilitating communication with elected officials, staff, and the public.

· Coordinate meeting preparation, including agendas, background materials, and briefing notes.

· Manage post-meeting follow-up by tracking directives, tasks, and action items.

· Manage and maintain internal and external communication efforts for the City supporting a cohesive brand image and strategic initiatives. Create, edit, and publish content including press releases, newsletters, graphics, and related items for the City’s website, social media platforms, print distribution, and email communication.

· Respond to or coordinate responses to citizen inquiries and complaints.

· Track ongoing projects and correspondence in support of the Administrator’s priorities.

· Manage calendars, appointments, meetings, and communications.

· Prepare correspondence, reports, agendas, minutes, and presentations.

· Interact professionally and confidentially with elected officials, staff, and community stakeholders.

Confidential Human Resources Functions

· Provide confidential HR support.

· Recruitment and onboarding activities, including posting job openings, scheduling interviews and conducting new hire orientations.

· Performs administrative duties, such as maintaining employee databases, coordinating meetings and events.

· Assist with benefits administration and employee relations.

· Coordinate training, employee engagement, and professional development initiatives.

Minimum Qualifications

· Associate’s degree, 5+ years related experience and/or training, or equivalent combination

· Proven ability to maintain confidentiality and exercise sound judgment.

· Excellent written, verbal, and interpersonal communication skills.

· Proficiency in Microsoft Office Suite and HRIS/personnel management systems

· Strong organizational and project management skills.

· Ability to work independently, manage multiple priorities, and meet deadlines.

· Valid driver’s license and availability for occasional evening meetings.
