Purpose

Sanctuary Recovery Centers aspires to outline specific job functions and responsibilities to eliminate ambiguity and support consistent HR operations across the organization. The HR Assistant will support HR leadership in ensuring compliance, organization, and efficiency in all HR processes.

Position Summary

The HR Assistant plays a key administrative and operational role within the Human Resources department. This position supports employee file management, onboarding, documentation, HR audits, compliance tasks, communication, and coordination of HR‑related activities. The HR Assistant contributes to a professional, confidential, and efficient HR environment, promoting open communication and supporting organizational growth and compliance.

Essential Duties & Responsibilities

Employee File Management

  • Maintain accurate and up‑to‑date employee files in iSolved and SharePoint.
  • Upload certifications, licenses, background checks, and required documents in correct system locations.
  • Assist with weekly or monthly audits to ensure compliance with regulatory and internal standards.
  • Track certification expirations and assist in notifying staff of upcoming renewal deadlines.
  • Support maintenance of checklists, HR logs, and compliance documentation.

Onboarding & New Hire Support

  • Assist with new hire processes including paperwork, orientation scheduling, and file creation.
  • Prepare onboarding materials and ensure all forms and consents are completed and filed correctly.
  • Coordinate communication with new hires and internal stakeholders.

HR Administrative Support

  • Perform clerical tasks including filing, scanning, data entry, and document organization.
  • Support preparation of HR letters, forms, and internal communication.
  • Answer HR‑related inquiries and direct employees to appropriate resources.
  • Assist with scheduling HR meetings, trainings, and interviews.

Compliance & Audits

  • Participate in internal audits to ensure files meet ADHS and Sanctuary Recovery Centers requirements.
  • Support HR documentation needed for regulatory reviews and inspections.
  • Ensure confidentiality and secure handling of all employee information.

General Support

  • Assist with special projects assigned by HR leadership.
  • Help maintain a positive and professional HR environment.
  • Provide backup support for other HR functions when needed.

Minimum Requirements

  • High school diploma or GED required.
  • Previous HR or administrative experience preferred.
  • Strong organizational skills with high attention to detail.
  • Ability to maintain confidentiality and handle sensitive information.
  • Proficient in Microsoft Office and comfortable learning HRIS systems (iSolved experience preferred).
  • Clear and effective communication skills, both verbal and written.
  • Ability to multitask and manage shifting priorities.
  • Professional, positive, and solution‑oriented approach.

Work Environment

  • Professional office environment with frequent interaction with staff and management.
  • Must be able to sit, stand, file, and move as needed to support administrative tasks.
