POSITION SUMMARY

The HR Assistant is responsible for maintaining and enhancing Feeding South Florida’s® (FSF) day-to-day Human Resources functions by supporting a high-performance culture focused on service and accountability. The primary objective of the HR Assistant is to support the team in a food bank warehouse and office setting. This role requires organizational skills, detail-oriented, and enjoys helping people. The HRA will assist with general HR responsibilities supporting both departmental and organizational needs. The HRA is committed to process improvement and has a “get the job done” attitude. FSF’s HRA should have a strong moral compass and understand that discretion is paramount to this role fostering a positive work environment and supporting the overall success of our HR operations. 

 

COMPENSATION: $19.23 - $23.75 per hour

POSITION RESPONSIBILITIES

  • Assist with scheduling and maintaining the orientation schedule.

  • Maintain organization chart.

  • Assist when needed data entry and verification for payroll, including timekeeping, attendance tracking, and shift updates.

  • Conduct data entry, review and reconcile monthly invoices for benefits.

  • Conduct HR file audits.

  • Assist with prescreening of candidates when needed.

  • Ensure accuracy of data for reporting Centers for Medicare & Medicaid Services (CMS), EEO-1, and other reports as required.

  • Respond to unemployment claims.

  • Complete verification of employment requests.

  • Track IT equipment (laptops, accessories, etc.).

  • Create PowerPoint Presentations for trainings and staff meetings.

  • Assist in events planning.

  • Assign training through Learning Management System and attend in-person training as needed.

  • Answer basic HR-related questions for staff and direct them to the right resources.

  • Maintain confidentiality with employee information.

  • Help with new hire paperwork and onboarding processes.

  • Keep employee records organized and updated.

  • Support HR team with scheduling interviews, meetings, and trainings.

  • Update and post notices and internal communications.

  • Support safety training and compliance checklists.

  • Other HR-related tasks as needed.

Job requirements

POSITION QUALIFICATIONS

  • High school diploma or GED required.

  • HR experience required.

  • HRIS experience required (Paychex, UKG, ADP or other applicable systems). 

  • Excellent oral and written communication skills.

  • Intermediate computer skills (Excel, Word, PowerPoint, SharePoint and Teams).

  • Ability to work constructively with individuals from a variety of socioeconomic backgrounds in culturally diverse work environments.   

  • Ability to act with integrity, professionalism, and confidentiality. 

  • Able to handle sensitive and confidential information professionally.

  • Organized, detail oriented, reliable, and able to work independently.

  • Project management skills a plus.

  • Experience working in a warehouse or nonprofit setting is a plus.

  • Bilingual preferred (English/Spanish). 

 

PHYSICAL DEMANDS & WORKING CONDITIONS

  • Hours of Operation: Organization hours are Monday-Friday, 8:00 a.m. – 5:00 p.m., this position will maintain a part-time schedule of 25-29 hours per week. This position may work additional hours occasionally throughout the year, especially during peak times such as holiday seasons, and disaster response.

  • Environment: This position works in an office setting with varying periods of standing, talking, and/or visual concentration, and use of office equipment.  Must maintain office safety standards. Occasional work will occur in the warehouse or outside in fields and warehouses in inclement weather. The noise in the work environment is usually moderate to loud.

  • Travel: This position may have occasional travel for meetings, conferences or special events which may require the use of a personal vehicle.

  • OSHA Standards Lifting requirements are 50 pounds and when lifting loads heavier than 50 pounds, use two or more people to lift the load.
