Job Summary

The HR Assistant (Recruiting) provides high-level administrative and customer service support with primary responsibility for coordinating and supporting seasonal recruitment and onboarding activities for Parks & Community Services. This position serves as the central point of contact for candidates and hiring managers throughout the Parks seasonal hiring process and ensures timely, accurate, and professional execution of recruitment-related tasks.

Tentative Work Schedule: Varied schedule Monday-Saturday between the hours of 8am-6pm - occasional earlier or later hours will be required. Hours will not exceed 40 hours per week. Position is expected to be at least six months.

Essential Duties and Responsibilities

Recruitment Coordination & Administrative Support

  • Serves as the primary administrative point of contact for Parks hiring managers throughout the recruitment and onboarding process, providing hands-on support.
  • Provides regular updates to hiring managers regarding candidate status and onboarding progress.
  • Proactively monitors onboarding milestones and notifies hiring managers of outstanding items or delays, especially as start dates approach.
  • Acts as the main communication liaison for candidates, responding to inquiries regarding onboarding and contacts candidates to follow up on incomplete onboarding tasks or when responsiveness is needed to prevent delays.
  • Coordinates and tracks position numbers to ensure accurate alignment between recruitment requisitions and onboarding records.
  • Provides ongoing support within the NEOGOV applicant tracking system, including moving candidates through workflow stages.
  • Provides onsite onboarding support for I-9 employment verifications, including occasional off-hours availability to accommodate operational needs (e.g. earlier morning, evening and weekend hours).  
  • Identifies process gaps or communication delays and escalates concerns as appropriate to ensure a smooth recruitment experience.
  • Performs related administrative duties as assigned in support of HR operations.

Supervision Received and Exercised:

  • Works under the close supervision of the Assistant Director and Recruiting Team.
  • No formal supervisory responsibilities.

Qualifications

Knowledge, Skills, Abilities and Competencies

  • Deliver exceptional internal and external customer service to hiring managers, candidates, and HR team members.
  • Build and maintain effective working relationships through responsive communication and proactive problem-solving.
  • Some knowledge of current trends and practices of human resource administration; basic understanding of recruitment.
  • Ability to carry out assigned projects to their completion; ability to communicate effectively verbally and in writing; ability to establish and maintain effective working relationships with applicants, employees; ability to maintain confidential and sensitive information; ability to understand and follow instructions.
  • Ability to listen and ascertain the needs of city employees and candidates; ability to find and communicate accurate information concerning process, policies and procedures to customers; ability to respond to customers tactfully and courteously.

Education, Experience, and Other Requirements

  • High school diploma and one or more years of specialized training in human resources, or other related field.
  • Three or more years of responsible related experience in general office, clerical or customer service work as well as human resources experience.
  • Experience in Parks and Community Services preferred.
  • Or any equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities.

Supplemental Information

Definition of a Variable Employee:

  • Average weekly hours cannot be determined at date of hire

  • Hours may vary from week to week and are anticipated to be28 hours per week or less

  • NOTE: Will be considered full-time and eligible for medical coverage if hours average 30 hours per week or more over a 12-month measurement period (or 130 hours per month)
