The HR Coordinator serves as a key member of the Human Resources team, supporting a broad range of administrative and functional areas including onboarding, benefits administration, HR compliance, employee records management, attendance tracking, and employee engagement. This position is ideal for a detail-oriented, service-driven individual with a strong foundation in HR processes and the ability to manage competing priorities in a fast-paced aviation training environment.
HR Administration & Employee Lifecycle Support
- Coordinate and facilitate onboarding and offboarding processes, including new hire paperwork, background checks, and exit interviews.
- Maintain accurate and up-to-date employee records in both physical and digital HRIS systems, ensuring confidentiality and legal compliance.
- Draft employee communications, letters, and announcements; support HR memo distribution and reporting.
- Track employee anniversaries, certifications, and compliance deadlines (e.g., I-9, EEO reporting, FAA/TSA documentation).
2. Benefits Administration
- Serve as the first point of contact for employee benefits questions, liaising with third-party providers and payroll as needed.
- Administer employee enrolments, changes, and terminations in group health plans, dental, vision, 401(k), and other benefit programs.
- Assist in coordinating annual open enrolment, including scheduling information sessions, distributing materials, and processing elections.
- Reconcile benefit invoices and ensure accurate payroll deductions for all benefit plans.
- Maintain up-to-date records for ACA, COBRA, and FMLA tracking and reporting.
3.Attendance & PTO Management
- Monitor and maintain attendance records for all employees using HRIS or designated timekeeping systems.
- Track Paid Time Off (PTO), sick leave, and unpaid leaves in accordance with company policy.
- Communicate PTO balances to employees and assist managers with time-off approval workflows.
- Ensure proper documentation is collected for extended leaves and ensure compliance with FMLA and other applicable regulations.
- Provide regular reporting on absenteeism trends to support operational planning.
4. Recruitment & Onboarding Coordination
- Post job advertisements on internal and external platforms; manage candidate pipelines and scheduling.
- Coordinate interview logistics for hiring managers and candidates.
- Prepare offer letters and assist with pre-employment documentation.
- HR Event & Training Support
- Assist in organizing training sessions, town halls, employee recognition events, and team-building activities.
- Support implementation of internal communication campaigns aligned with HR initiatives (e.g., employee engagement, DEI, professional development).
- Cross-Departmental Support
- Provide administrative support to key leadership and collaborate with Finance, Facilities, and Operations teams as needed.
- Support audits, compliance reviews, and continuous improvement initiatives led by the HR department.
Required Qualifications & Experience
- Bachelor’s Degree in Human Resources, Business Administration, or related field required.
- 2+ years of experience in HR or benefits coordination, preferably in a regulated or safety-sensitive industry.
- Working knowledge of employee benefits, HR compliance (FMLA, COBRA, I-9, HIPAA), and employment best practices.
- Proficiency in Microsoft Office Suite; familiarity with HRIS systems and applicant tracking platforms.
- Excellent interpersonal and written communication skills
- Strong organizational skills with the ability to manage competing deadlines.
Preferred Qualifications
- Experience working in aviation, education, or a training-oriented environment.
- Exposure to benefits platforms such as ADP, Paychex, or similar
- Coursework or certification in HR (e.g., SHRM-CP, PHR, or equivalent) is a plus.

Benefits:
- Full Time, Monday-Friday
- Salary Range: $45,000 to 50,000 annually
