Key Responsibilities
Administrative & Coordination
- Serve as the primary point of contact for internal and external communications including calls, emails, and correspondence
- Coordinate meetings, appointments, and events to ensure optimal use of time and resources
- Prepare reports, presentations, and agendas; maintain accurate records of meetings, decisions, and follow-up actions
- Coordinate orientation and onboarding sessions for new employees
Records & Data Management
- Organize and maintain employee documents and files in both physical and electronic formats
- Input and update data into databases, spreadsheets, and HRIS platforms with high accuracy
- Maintain confidentiality of sensitive employee data with the utmost professionalism and integrity
Compliance & Auditing
- Audit and maintain personnel files to ensure compliance with federal, state, and company-specific requirements
- Conduct routine internal audits in alignment with DOH, HIPAA, and internal HR regulations
- Track and manage timely renewals of professional licenses, credentials, and mandatory staff trainings
- Monitor compliance progress and report findings to the Manager of People and Culture Development
- Support preparation for external audits and regulatory inspections
- Collaborate cross-functionally to ensure HR practices remain aligned with operational and compliance goals
Qualifications
- Associate's degree in Human Resources, Business Administration, Healthcare Administration, or related field (Bachelor's preferred)
- Minimum 2 years of HR experience, preferably in a healthcare or regulated industry
- Strong working knowledge of HR compliance including HIPAA, DOH, and relevant federal/state regulations
- Experience with HRIS platforms and digital document management systems
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Excellent written and verbal communication skills
- Superior attention to detail with proven ability to manage multiple priorities and deadlines
- Discretion, integrity, and a collaborative, team-focused mindset
