Job Summary

As the primary point of contact for the Human Resources Department, the HR Coordinator is responsible for delivering outstanding customer service, coordinating overall human resources administration activities, and maintaining accurate human resources records. The position supports departmental needs in the areas of analytics, reporting, employment and onboarding, employee programs, communications, and other department activities.

 

Interacts and engages interdepartmentally, cross-functionality, interdepartmentally, cross-functionality, and collaboratively across the US and Canadian organizations, including Senior Leadership.



Responsibilities
  • Responding to employee questions, concerns and issues and/or directing them to the correct department contact in a timely, accurate and confidential manner for assigned client group.
  • Process personnel action paperwork and communicate with payroll and other internal departments as needed. 
  • Ensure compliance with SOX and financial governance processes. Track payments and accruals with payroll and finance.
  • Responsible for new hires in the US, act as main contact and coordinator for all new hires and hiring managers, conducts/coordinates onsite new hire orientation. 
  • Provide reporting support to HRBPs from HCM MyCooper.
  • Coordinate and manage tuition reimbursement, employee referrals, annual gift cards, recognition, and service awards for the US.
  • Facilitates central administration coordination for trainings, policy signoffs, compliance training and annual processes such as merit and bonus. 
  • Consults with internal and external resources to resolve complex issues related to finance, compliance, expenses, etc.
  • Create and disseminate communications on human resource activities including new hires, events and sensitive personnel communications. 
  • Review, audit and approval of PO’s and invoices, ordering supplies for Human Resources department. 
  • Provide recruitment support to Talent Acquisition team as needed.
  • Assist with planning and coordination of employee events such company meetings, recognition programs and people activities.
  • Maintain employee personnel files and records for assigned client groups.
  • Participate in planning meetings and departmental staff meetings to provide viewpoint or suggestions relative to departmental goals and strategic plans.  Provide administrative and project support to HR team as needed.
  • Actively pursues process improvement and efficiencies in all HR and associated responsibilities.
  • As business needs dictate, works extended hours to complete daily department goals or tasks to include mandatory overtime.
  • All other duties as assigned.


Qualifications

Knowledge, Skills and Abilities:

  • Demonstrated attention to detail, organizational skills and management of multiple priorities.
  • Demonstrated ability to manage highly sensitive and confidential information.
  • Ability to clearly and concisely explain processes procedures and other factual information. 
  • Ability to obtain information from a variety of sources.
  • Outstanding customer service aptitude.
  • Excellent interpersonal, written and verbal communication skills.
  • Demonstrated initiative and ability to work independently and within a team.
  • Proficiency in Microsoft Office Suite applications. Intermediate to Advanced Excel skills required. 
  • Experienced knowledge of U.S. employment law required.

Work Environment:

  • Normal office setting
  • Position is onsite, with travel between local facilities in Victor, West Henrietta and Scottsville required. 
  • Sitting 90% of the day.
  • Ability to travel commercially and internationally required
  • Ability to lift 20 lbs.

Experience:

  • Three - five years coordinator/administrative experience with a minimum of 2 years in a Human Resource capacity.
  • Experience managing end-to-end HR processes required
  • Experience with project management a plus

Education:

  • Associate’s degree in Business, Human Resources or related discipline
  • Equivalent combination of education and experience may be considered
  • HR certifications a plus

For U.S. locations that require disclosure of compensation, the starting base pay for this role is between $25.67 and $31.22 per hour and may include cost of living adjustments.  The actual base pay includes many factors and is subject to change and modification in the future.  This position may also be eligible for other types of compensation and benefits.
