Northwest Orthopaedic Specialists is hiring for a Human Resource Coordinator.  We're seeking an organized and detail-oriented HR Coordinator to manage the full recruitment cycle, support onboarding and employee records, and provide administrative and recognition program support for our growing organization. 

ESSENTIAL FUNCTIONS:  This is NOT a remote position. Works at our downtown location Mon - Thurs 8 am - 4:30 pm

  • It is the expectation of all NWOS employees to demonstrate and uphold all 19 NWOS Fundamentals.
  • Consult with the hiring managers and HR Director to understand the requirements, duties and qualifications desired for staffing needs. Create and maintain job postings in UKG and other job boards.
  • Maintain proactive communication with hiring managers regarding recruitment needs and open positions, and provide regular updates.
  • Work with the hiring manager to pre-screen applicants, set up interviews, and negotiate offers.
  • Conduct background checks and reference checks on potential candidates.
  • Utilize recruitment tools and manage the applicant tracking system and all onboarding needs of new hires.
  • Collect and organize new hire paperwork (including all licensing paperwork and I-9 documents), enter accurately into HRIS, and file appropriately into personnel files.
  • Conduct new employee orientation with organization and intentionality to ensure a smooth first day. Conduct the New Hire Orientation at the end of the month for all new hires in the month.
  • Update, maintain and ensure data integrity and compliance within ATS and HRIS systems.
  • Build relationships with colleges, universities, trade schools and high schools.
  • Manage/Coordinate with external recruiter agencies as necessary.
  • Assist the HR Team in administering the Fundamentals to reinforce the NWOS Culture.
  • Administer Employee Appreciation Programs: Logowear, monthly anniversary cards, and assist in annual Healthcare Appreciation Week and Company Party execution.
  • Direct employees and 3rd parties to EmpInfo for verification of employment requests.
  • Activate and de-activate, distribute and track access badges and parking passes.
  • Provide administrative support to the executive team as needed.
  • Approve invoices for Deluxe Logowear, parking passes and background checks.
  • Handle employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
  • Maintain compliance with federal, state, and local employment laws and regulations, and recommended best practices; review policies and practices to maintain compliance.
  • Maintain knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
  • Monitor key HR metrics including time to fill and source of hire
  • Perform other duties assigned and support all HR initiatives.

      QUALIFICATIONS:

      Education, Experience & Training: To perform this job successfully, an individual must meet the minimum qualifications listed below.  These qualifications are representative of the knowledge, skill and/or ability required to perform this job.

      Required

      • High school diploma or equivalent

      Preferred

      • Experience recruiting that encompasses all phases of the recruitment life cycle
      • Proficiency with Applicant Tracking System and HRIS (UKG preferred)
      • Two years HR Assistant or HR Generalist experience
      • AA Degree preferred

      KNOWLEDGE SKILLS & ABILITIES:

      • Proficiency with Microsoft Office Suite (Outlook Word, Excel, PowerPoint).
      • Strong communication, problem-solving, reasoning, and decision-making skills. Must be able to use initiative and independent judgment within established policies and procedures.
      • Proven ability to maintain a high level of confidentiality.
      • Ability to prioritize and manage tasks effectively. Excellent time management and organizational skills.
      • Ability to work independently and within a highly collaborative team environment.

      Hiring Range:  $19.00-33.87
