The HR Coordinator will play a vital role in supporting the Employee Resource Center and facilitating various disciplines within the department. Your responsibilities will include maintaining the human capital management system, managing department mailboxes, resolving HR issues and concerns, supporting training initiatives and programs including New Employee Orientation, onboarding procedures, offboarding procedures, and supporting other general HR duties associated with effective operations. You will serve as a key point of contact for employees, managers, and external partners, ensuring that HR processes are efficient, compliant, and contribute to a positive work environment.

Essential Job Duties

  • Collaborate with Talent Acquisition, Hiring Leaders, and HR Business Partners to coordinate the preboarding and onboarding processes for new hires (and non-employees where appropriate), including preparing welcome materials, conducting initial and recurring background and reference checks, setting up employee access and profiles in the HCM and supporting new employee orientation.
  • Partner with Talent Acquisition to support recruitment processes such as preparation of weekly opportunities report and ensure accurate job descriptions are ready for posting.
  • Maintain accurate and up-to-date employee records, both physical and electronic via the HCMS (UKG), SharePoint, etc. Ensure compliance with data protection regulations and maintain confidentiality of sensitive HR information.
  • Oversee and manage various employee engagement activities, informational projects and initiatives throughout the year including Vivent Health’s Cheerleader program, annual flu vaccines, annual total rewards statements, and employee appreciation efforts, including agency-wide mailings and communications.
  • Partnering with Cheerleaders, coordinate agency-wide monthly and special year-end recognition activities for employees’ birthdays and work anniversaries across the organization, including organizing monthly celebratory lunches for the Milwaukee, WI location.
  • Serve as a resource for employees regarding HR policies, benefits, and general inquiries. Address and escalate employee concerns and issues in a timely and professional manner.
  • Support benefits enrollment processes and provide information to employees about available benefits options. Collaborate with benefit providers to address employee queries and resolve issues where appropriate.
  • Prepare and maintain HR reports and analytics, including employee turnover records, post-hire milestone reports, monthly internal equity reports and other relevant HR metrics.
  • Gather, provide and track necessary documentation for occasional audits from funders and regulatory agencies.
  • Stay up-to-date on HR laws and regulations to ensure company policies align with legal requirements. Assist in the implementation and communication of HR policies and procedures.
  • All other duties to support the efficient operation of the HR as assigned.
  • Adhere to all agency policies, including but not limited to Confidentiality, Employee Handbook, Health Care Corporate Compliance Plan, Standards of Conduct, training, and other relevant policies.

KNOWLEDGE REQUIRED:

Required and preferred knowledge and experiences to succeed.  

  • Education:
    • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Work Experience:
    • In conjunction with a bachelor’s degree, minimum one year experience as HR Assistant, Coordinator, and/or Specialist or similar role preferred.
  • Technical Experience:
    • Proficiency in using Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and HR software systems.
  • Soft Skills:
    • Excellent communication skills, both written and verbal, to effectively interact with employees, managers, and external partners.
    • Strong organizational and time management abilities to handle multiple tasks and prioritize responsibilities independently and in group settings.
    • Attention to detail and accuracy in data entry and maintaining employee records.
    • Ability to maintain confidentiality and handle sensitive HR information with discretion.
    • Team player with the ability to collaborate and work effectively in a diverse workplace.
    • Problem-solving, critical-thinking skills, and ability to independently troubleshoot to address employee queries and HR-related issues.
    • Customer service orientation to provide excellent support to employees and stakeholders.
    • Strong work ethic and willingness to learn and grow in the HR field.
  • Additional Preferred Qualifications:
  • HIV experience in a not-for-profit environment.
  • Certifications such as the Professional in Human Resources (PHR) or the Society for Human Resource Management Certified Professional (SHRM-CP).

Pay Rate:

Starting at $24/hour (Depending on Experience)

The final salary will be determined based on factors such as market data, internal equity, candidate experience and qualifications. Please note that it is uncommon for an individual to be hired at or near the top of the range.
