Position Summary

The People, Culture and Beloging HR Coordinator will provide essential administrative support to the People, Culture and Belonging program by managing HR documentation systems, employment records, and organizational operations components. This position ensures accurate record-keeping and systematic tracking of employment-related documentation while supporting the overall administrative functions of the PCB team. The individual in this role will have strong organizational skills and attention to detail, with the ability to manage confidential information and maintain accurate documentation systems. This position is temporary, with the potential to become permanent after six months.

 

Essential Job Functions

HR Systems and Documentation Management

Manage HR components of the organizational operations (OPS) site to ensure accurate and up-to-date information

Prepare and process employment amendments and agreements in accordance with organizational policies and legal requirements

Create and update job description write-ups for all organizational positions

Maintain comprehensive personnel file management systems with strict attention to confidentiality and legal compliance

Track and monitor document completion status, including handbook receipts and other required employment documentation

 

Data Entry and Record Keeping

Enter new hires and terminated staff information into QuickBooks and QuickBooks Time systems with accuracy and timeliness

Input and maintain leave balances in QuickBooks Time to ensure accurate time-off accounting

Ensure all employment records are properly documented and easily accessible for compliance purposes

Maintain organized filing systems for both physical and digital employment documents

 

Administrative Support

Provide general administrative support to the PCB team as needed

Assist with special projects related to HR documentation and systems improvement

Support compliance efforts by ensuring all required documentation is complete and properly filed

Non-Essential Job Functions

Additional or shifted responsibilities to be identified as the organization evolves.

 

Independent Decision-Making

Make routine, job related decisions within established guidelines regarding documentation and record-keeping procedures

 

Supervision Received and Exercised

This position reports directly to the People Support Manager. No supervision exercised.

 

Location

This position is based in Fairbanks, Alaska. Work in office is required to perform the duties of this position. Office space is available in our Fairbanks location.

 

Work Environment and Demands of the Role

Generally, the office environment is calm, with some days of higher activity due to organizational events. Some noise from people in the office is expected, and may increase during events. We are a family-friendly workplace, so children of all ages may be present at any time. Dogs are allowed in the office, so there may be occasional barking and dogs walking throughout the building. This position may require travel within the state for retreats and team building activities. Possibility of a flexible schedule within agreed guidelines.

 

The physical demands of this position require the ability to occasionally remain in a stationary position, move or traverse throughout an office and retreat spaces. Occasionally must be able to transport objects through the office for various needs. Must be able to commute to and from an office and retreat locations. Requires the ability to ascend a flight of stairs, several times a day. Additionally, the employee must be able to exchange information and ideas so that others will understand, receive and understand instructions, readily recall facts and details, and exercise independent judgment.

Benefits Information

As a temporary, part-time position, this role is eligible for holiday pay and wellness time. This position is not eligible for health insurance, retirement benefits, or paid time off benefits. Professional development opportunities may be available as identified by the People Support Manager and the PCB Coordinator.

Job requirements

Job qualifications:

Demonstrated knowledge and relevant experience in administrative support, data entry, or HR documentation

Proven experience with record-keeping and file management systems

Strong attention to detail and accuracy in documentation and data entry

Experience with QuickBooks and QuickBooks Time or similar payroll/time tracking systems preferred

Excellent organizational and time-management skills

Strong written communication skills for creating and updating job descriptions and employment documents

Working knowledge of online tools and systems for document management

Ability to handle confidential information with discretion and professionalism

Understanding of basic employment law and HR compliance requirements preferred

Commitment to addressing root causes of inequity while building a grassroots movement

Familiarity with concepts of decolonization and healing-centered approaches

Strong interpersonal skills, with the ability to work collaboratively within a team environment

Lived experience engaging and/or organizing within Alaska Native/Indigenous communities both rural and urban (i.e. cultural practices, potlatches, ceremony), and having a deep understandings of Alaska Native ways of life preferred

Formal education in business administration, HR, or related fields preferred but not required

Additional Job Information

This position requires regular attendance in accordance with the established schedule as this is the most common time to conduct business with customers, vendors and employees. Some work outside of regular hours may be required, such as emergency response to properties (fire, law enforcement, etc). Employees must also possess the following abilities:
