Job Summary: Responsible for running daily functions of the Human Resources (HR) department to include being a primary point of contact for HR-related queries from employees and external partners. Main administrative duties include maintaining personnel records, managing HR documents and updating internal databases. Responsible for preparing and providing various reports and analytics for the organization within the HR Department. Also responsible for record-keeping, file maintenance, and HRIS entry, and ensuring the HR Department supports employees while conforming to labor laws.
Essential Functions:
Organize and maintain personnel records
Update internal databases (e.g., manage Leave of Absence (LOA) spreadsheet)
Prepare monthly employee census and provide to leadership as needed/requested
Answer routine employee queries about HR-related issues
Act as a resource for payroll/HR contacts to ensure their understanding and compliance with payroll and HR policies and regulations
Schedule meetings and interviews as requested by the AVP of HR or VP of People and Culture
Perform clerical functions (e.g., make photocopies; scan and email documents; etc.)
Prepare new-employee files and file documents into appropriate employee files
Conduct or acquire background checks and employee eligibly verifications
Complete special projects by clarifying project objectives, setting timetables and schedules, conducting research, developing and organizing information and fulfilling transactions
Assist with the recruiting process; may be required to write job descriptions, post positions and track applicants throughout the hiring process, and respond with follow-up letters at the end of the recruiting process
Coordinate recruiting efforts with management team to ensure proper staffing levels are maintained, including development of employment advertisements and/or working with third-party staffing partners as needed
Assist in processing multi-state payroll and related activities including computation of wage overtime payments, calculating and recording payroll deductions, bonus runs, fringe benefits reporting and separation payments
Able to understand and interpret benefit designs and plans as well as effectively translate this information to employees and management as needed
Maintain currency on legal requirements and government reporting regulations affecting HR and ensures policies, procedures, and reporting are in compliance
Provide ongoing HR support, guidance, and coaching/counseling to employees and managers regarding people plans and programs
Keep immediate supervisor advised of potential problem areas and recommend/implement solutions as appropriate
Qualifications: Required Education and Experience
Associate’s degree in Human Resources or related field or four years of related experience or any equivalent combination of education and experience that provides the required knowledge, skills and abilities
Preferred Education and Experience
ADP experience strongly preferred
Bachelor’s degree in Human Resources, Business Administration, or related field desired

Prolonged periods sitting at a desk and working on a computer.
Must be able to lift and/or move up to 15 pounds and occasionally lift and/or move up to 55 pounds.

Supervisory Responsibility: This position currently has no direct reports.
Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, and printers/scanners. May need to operate in a warehouse or trucking terminal at times.
Position Type/Expected Hours of Work: This is a full-time, exempt position. Days and hours of work are Monday through Friday, 8:00 a.m. to 4:30 p.m.
Travel: Little to no travel is expected for this position.
