HR Generalist - Substitute Program Manager
Job Description:
Responsible for overseeing the daily operations of the District Substitute Office. Key responsibilities include responding to inquiries regarding Substitute Office policies and procedures; managing the hiring and performance of substitute staff; and maintaining, monitoring, troubleshooting, and training users on the substitute computer system. The role also involves processing payroll for substitutes, conducting confidential reference checks for all new substitutes, and developing and implementing New Hire Orientation for substitutes. A minimum of two (2) years of experience with computer applications and customer service is required.

Responsibilities:
Design and update Substitute Office materials, letters, and forms
Maintain the absence reporting system help desk duties including troubleshooting daily operations of the substitute computer system; entering various types of absences into the absence reporting system; tracking leaves created in the absence reporting system; assisting secretaries with creating, cancelling, and editing employee absences; computing data, and submitting reports for substitutes, payroll, and administrators; revising all charter school rosters in the absence reporting system.
Process and maintain substitute files, including exclusions and dismissals. Perform confidential reference checks and criminal background checks. Schedule, and administer, substitute orientations for all newly hired Substitutes.
Monitor the district substitute budgets and assist sites in managing site substitute budgets.
Organize and send substitute information such as substitute handbook, various letters and licensure reminders. Generate exclusion and dismissal letters. Recruit applicants through job fairs, and personal contact. Prepare information for job fairs.
Respond to questions and concerns from licensed substitutes, applicants and employees regarding substitute policies and procedures via phone and/or e-mail. Respond to inquiries from applicants and administrators regarding the substitute hiring process.
Perform other related duties as assigned or requested.

- All salary amounts listed above are based on a full-time (1.0) FTE. If applicable, part-time salaries will be prorated according to the assigned FTE.
