Job Title: HR Specialist

FLSA: Hourly "Non-Exempt"

Duties and Responsibilities

  • Remain as first point of contact for all external and internal customers related to talent team questions or procedures.
  • Facilitate the recruitment cycle for designated requisitions, including but not limited to posting job, attending interviews, and reviewing budget notes. 
  • Lead the organization and setup of onboarding for all people entering the organization. 
  • Ensuring all documentation is collected before or during onboarding of new hires, including background check, references, I9 documents. 
  • Act as liaison with HRIS system (VG Pro) administrators as the Talent Team representative. Ensure that Talent Team processes and workflows coordinate with general system processes.
  • Document, maintain, and update VG Pro processes and workflows as needed.
  • Attend career fairs as needed.
  • Travel to VG sites for training, employee outreach, and to meet with new hires. 
  • Assisting with a variety of HR administrative tasks that can include but not limited to: I9 Verification, Filing required paperwork, managing team email inboxes, managing the organization chart, and maintaining documentation for staff licenses and certifications. 
  • Act as the primary contact for internal and external customers regarding student and volunteer opportunities at VGMHC
  • Systemize recruiting, onboarding, and support services for students and volunteers across VGMHC. Including connecting the Talent Team with students to further any interested candidates into career opportunities. 
  • Ensure that all volunteer and student opportunity descriptions meet federal and state laws and VGMHC policies regarding appropriate use of volunteers and students, opportunity parameters, and documentation requirements.
  • Maintain the volunteer and student page of the VGMHC website and internal SharePoint website 
  • Maintain community and medical school partnerships/relationships to support recruiting efforts, coordinate VGMHC presence at community volunteer and student recruitment activities and collaborate with VG external and internal communication channels to promote opportunities.
  • Plan training related to volunteer and student onboarding, orientation, and development for volunteers and students. 
  • Collaborate with other VGMHC departments (e.g. HR, Compliance, IT, Foundation) to ensure volunteers and students are compliant, and evaluate the impact of new policies, practices or events on volunteer population.
  • Perform other duties as assigned.

     

Education and Experience Required

·         Bachelor's degree preferred.

        One year of HR experience, preferably in staffing or recruitment required

·        Two or more years of volunteer coordination or management experience, preferably in healthcare or nonprofit setting preferred

·         One year of recent HR experience in staffing or recruitment preferred.

·         Experience working with HRIS (preferably Oracle) or volunteer management software preferred.

·         Experience with help desk ticketing system preferred.
