STATEMENT OF PURPOSE
The Human Resource (HR) Assistant will provide administrative support to the HR office, including front-desk duties (greeting visitors and answering phones), technical tasks, accounting and balancing responsibilities, record maintenance, taking minutes, filling, scanning and other office functions.
This is a full-time benefited position working 80 hours per two-weeks. The hours are Monday - Friday from 8:00am - 4:30pm with no nights, weekends or Holidays.
JOB FUNCTIONS
- Maintain accurate and organized records, including hospital policies, HR procedures and hospital orientation materials.
- Provide exceptional phone support, professionally answering and directing calls as needed. Additionally, manage daily tasks such as filing, scanning and incoming mail daily.
- Prepare and assemble onboarding packages, ID badges and assisting with new hire documents.
- Support in the maintenance of current and accurate job descriptions.
- Utilize office technology, such as copiers, fax machine, scanners and audio-visual equipment.
- Support the maintenance of up-to-date HR policies and internet content.
- Contribute to maintaining compliance with license and OIG requirements, including employee and manager notifications.
- Prepare and edit confidential documents, such as offer letters, reports, polices and using software applications.
- Contributes to employee engagement initiatives, such as surveys, service awards and other employee recognition activities.
- Manages near-miss and injury incidents, documentation and online submissions.
- Help manage supply ordering for HR, ensuring budget compliance.
- Performs related duties as assigned or requested.
QUALIFICATIONS/REQUIREMENTS FOR THIS POSITION:
- PREPARATION AND TRAINING - High school diploma preferred.
- WORK EXPERIENCE - One year of office experience preferred. Must be proficient in Word, Excel, Outlook, Powerpoint, and other software applications, Ability to adapt to new systems and learn user-specific programs, familiarity with web and database applications.
- ANALYTICAL ABILITY - Analytical ability is required to maintain office and statistical data, gather and interpret data from several sources. Must be organized, detail oriented, and have the ability to prioritize tasks.
- INDEPENDENT JUDGEMENT - Operates within established policies and procedures, escalating non-routine issues to supervisors and manages multiple tasks at a time.
- CONTACTS WITH OTHERS - High level of interaction with others, including in-person and phone conversations, requiring strong social skills and clear communication.
- SUPERVISING THE WORK OF OTHERS - Own work responsibility, teamwork and delegation of tasks to support peers.
- MENTAL/VISUAL EFFORT - Work requires effort normal to an office environment. Must be able to speak and write the English language in an understandable manner.
- WORKING CONDITIONS - Office environment with shared space, modern equipment, frequent interruptions and adherence to safety protocols.
