Description

This is an hourly/nonexempt position that pays $27.00 to $29.00 per hour, plus generous employee benefits

 

Essential Functions/Major Responsibilities: 

HR Admin (20% of Time):

  • Serve as first point-of-contact on the Human Resources team. Greet, screen and direct internal and external customers to appropriate HR staff member.  Answer a broad spectrum of HR questions, via e-mail, phone or in-person, and provide forms, information, or point to appropriate resources.

  • Greet employees and visitors at reception desk as needed. Ensure connections are made to host or referral to others.

  • Coordinate and troubleshoot Envoy visitor management system and badge printer, and troubleshoot with IT as needed.

  • Assist with vendor deliveries (e.g. Micro Precision, Corodata, USPS), food and coffee services, building vendors and building services, and contact appropriate employees for receipt of packages.

  • Sort incoming HR mail and forward to appropriate HR team members.

  • Serve as interface with First Class Vending on coffee machine.  Maintain open line of communication with facilities on coffee supplies and machine maintenance.  Reach out to vendor with any concerns. 

HR Operations and Employee Services (30% of Time)

  • Maintain personnel files, file documents, and assist with year-end archiving

  • Create FedEx labels to ship overnight packages.

  • Prepare purchase orders (one-time or blanket) and process invoices for goods and services for HR department.

  • Order employee flowers and plants for U.S. employees for significant illnesses, accidents or bereavement.  Fromyouflowers.com (log-in in bible)

  • Help coordinate the annual service awards lunch event, including invitations, programs, food, beverages, etc.

  • Coordinate Costco supply orders for HR department as needed. 562-607-5573

  • Maintain and update the company telephone list of extensions and cell phone numbers, per the process.

  • Review updates and order/post labor law and other legal posters/notices on company bulletin boards on an annual basis, and as needed for new posting requirements.
  • Support annual ISO update of documents for HR Poway and support annual EEO and AA filings as requested.
  • Serve as a back-up for HR Specialist.

HR Programs (30% of Time)

     EMPLOYEE BADGING & KEYS

  • Own the employee badging system

  • Take photos for new hires and send request to Teradata with designated access. Deactivare employee badges as needed for terminated employees/contractors.

  • Troubleshoot badge access issues.

  • Manage HR key requests for San Diego site – coordinating with Cohu Facilities and Teradata Facilities. 

  • Facilitate the return of keys from departing employees to appropriate Facilities Department TBD

    RECOGNITION

  • Coordinate the employee recognition programs (Applause and Above & Beyond) track performance-based recognition recipients and ensure gift card supply is maintained. 

  • Coordinate “local” HR Team employee birthday recognition.

     COMPANY STORE

  • Maintain company store of Cohu logo items, replenish as needed, and create new logo items.

     ONBOARDING AND NEW HIRE ORIENTATION

  • Create new name plates for new hires, maintain supply of name plates.

  • Prepare new hire packets and new hire gift bags.
  • Greet new employees on first day, facilitate the completion of preliminary paperwork, create badge, and go over rules and regulations associated with badge, building access, and parking. 
  • Contact hiring manager to facilitate introduction and hand-off.   

     COMMUNITY SERVICE

  • Coordinate a variety of programs and drives such as Toys for Tots, Food Drive, Blood Drives, etc.

     EMPLOYEE PROGRAMS

  • Process sign-ups, enrollments and swag bag for new hires and other employee sign-ups for the on-site fitness center
  • Serve as a member of the Happenings & Events Team, to plan events for employees at the San Diego office. Includes attending meetings, preparing and setting up for on-site events, participating and closing out/clean up after event.

Workplace Safety Administrative & Programs Support (20% of Time)

Scope of role to be defined. Provide administrative and programs support for Safety Council and Safety team members related safety communications, bulletin board postings, safety training, evacation, safety inspections, compliance, charts/graphs, and reporting.

Manages communication, process and vouchers for local employees for safety shoes and safety glasses.

Supervisory Responsibility:  None

Position Requirements

  • Education/Training:

    • High school graduate or equivalent.  Associate Degree in Business, Psychology, or related field required or equivalent combination of education and experience. HR Certificate a plus.

  • Experience: 

    • Five or more years or progressive administrative experience with at least one year in Human Resources

  • Knowledge/Skills/Abilities/Technical Requirements: 

    • Knowledge of general human resources programs, practices and policies.

    • Effective oral and written communication skills

    • Must be technical and systems savvy

    • Must be able to effectively communicate with people at all levels and build/foster professional working relationships

    • Must exhibit sound and common-sense judgment 

    • Computer skills must include MS Word, Excel, PowerPoint and Outlook 

    • HRIS experience helpful (Oracle Fusion Cloud/HCM preferred)

    • Easily adapt to a changing environment, which includes ability to multi-task and plan, organize and prioritize tasks, projects and activities 

    • Ability to monitor own work for quality and accuracy 

    • Must be able to work effectively as a team player as well as an individual contributor 

    • Must be able to maintain confidentiality with sensitive personnel records and information

  • Job Conditions/Physical Demands: Must work on site Monday to Friday from 8:00 am to 5:00 pm. Office environment; ability to sit or stand at desk for prolonged periods.  Use of keyboard, telephone and mouse.  Minimum lifting.
