Human Resources Assistant
Location: Amherst, NY 
The hourly range for this position starts at $26.00/hour- $31.25/hour, depending on experience, qualifications and location.  Final compensation will be determined during the interview process.

This HR Assistant role is formally titled: P&C Assistant (People & Culture) within our organization.

We are seeking an organized, proactive, and people‑focused Human Resources (People & Culture) Assistant to support daily administrative operations while also leading key aspects of our employee recognition programs. The ideal candidate will execute various administrative tasks, with an emphasis on confidentiality, professionalism, and attention to detail. Equally important, this individual will play a vital role in enhancing our workplace culture by ensuring employees feel valued, celebrated, and supported.

Essential Functions

  • Provide administrative support for employee-related processes, including employee change processing, communications preparation, invoice processing, and maintaining personnel files.
  • Manage calendars, schedule meetings, prepare agendas, and coordinate logistics.
  • Draft, review, and distribute correspondence, reports, and meeting materials.
  • Assist with document management, data entry, and maintaining accurate electronic and physical records.
  • Support onboarding process and logistics (welcome materials, new employee paperwork, workspace coordination, etc.).
  • Administer and maintain organization-wide employee recognition programs.
  • Coordinate service awards, milestone achievements, and special acknowledgments.
  • Organize employee appreciation events, celebrations, and engagement initiatives.
  • Track recognition program data, nominations, and award distribution.
  • Collaborate with People & Culture team to refresh recognition ideas and enhance program visibility.
  • Promote a positive workplace culture through thoughtful, timely recognition activities.
  • Ensure compliance with company policies, maintain confidentiality, and communicate effectively with employees and senior leaders.

Your Qualifications: 

  • Associate’s degree in business or related field preferred.
  • 3-5 years of related administrative experience in professional work environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication and organizational skills required.
  • Ability to maintain discretion and confidentiality in all matters.
  • Critical thinking skills and a proactive, service-oriented approach.
  • Ability to demonstrate discretion and professionalism when interacting with employees and senior leaders with a service-oriented demeanor.
  • Ability to contribute positively to a team environment and maintain strong employee relations.
