This position provides primary administrative support to the Licensure Administrators. Work is performed under general supervision without specific instruction. Contacts are made at all organizational levels both within and outside the department and division. Position requires handling of confidential information and dealing tactfully with the public. The employee must prioritize and multitask to ensure work is completed by deadlines.
Essential Job Functions:
Performs the administrative work required to ensure the efficient operation of the Teacher Licensure office
Prepares letters, screens visitors, receives/makes telephone calls and emails, and distributes mail
Answers questions regarding teacher licensure, recertification, tuition assistance, licensure grants and cohorts, and licensure status
Researches licensure issues and communicates to Licensure Administrators, as appropriate
Reviews, organizes, and prepares all licensure documentation to determine completeness
Acquires required sign-offs for licensure materials.
Performs data entry for required licensure documentation in order to ensure compliance with the Code of Virginia & VDOE Regulations( i.e. statutory requirements); this includes entering all teacher credentials into the CCPS database
Receives and processes required documents to add degrees and endorsements to licenses
Prepares and submits licensure action forms in accordance with county and Virginia Department of Education policies
Assists with maintaining data regarding new hires, transfers, and terminations for the Virginia Department of Education yearly report
Assists with the review of all new hires, promotions, transfers, and rehires to determine items needed for licensure/licensure application file; reviews items needed with individuals and follows up as required
Establishes and maintains files for the Licensure Office
Assists with job fairs and events through preparation, setup at site and organization of materials afterwards
Assists with the processing of tuition assistance
Performs other duties as assigned

Operates computer, copier, fax machine, scanner, telephone, and other general office equipment

Demonstrated ability to: maintain automated databases and provide routine reporting; edit work for proper grammar, spelling and punctuation; interpret and apply policies and procedures; communicate effectively both orally and in writing; exercise judgment and to work effectively with all levels of the organization and the public; lead the work of others. Knowledge of records management.
GED or High School Diploma.
Preferred: Experience in administrative support work in Human Resources area and teacher licensure strongly preferred. An equivalent combination of training and experience that would provide the required knowledge, skills and abilities.
