At Network for Hope (NFH), the Human Resources (HR) Coordinator provides administrative and operational support to the Human Resources department, with a focus on employee records management, HRIS data integrity, benefit processing, onboarding support, and employee inquiries. This role supports the HR Generalist and HR Manager in executing day-to-day HR operations and cyclical HR processes while ensuring a high level of customer service, accuracy, confidentiality, and regulatory compliance.

Key Responsibilities

HR Administration & Employee Records

  • Provides responsive and customer-focused HR support to employees and managers.
  • Maintains accurate employee records, personnel files, and HRIS records while ensuring confidentiality and regulatory compliance.
  • Processes employee lifecycle documentation including onboarding, status changes, transfers, promotions, and terminations.
  • Assists with payroll-related administrative changes and communicates relevant updates to the payroll processing team bi-weekly to ensure proper payroll processing.
  • Ensures all required documentation is completed and maintained appropriately within employee personnel and confidential files.
  • Supports compliance efforts by maintaining required postings, documentation, audits, and tracking recurring compliance requirements in conjunction with the HR Generalist.
  • Assists with annual Motor Vehicle Record background checks and related follow-up as directed by the Human Resources Manager.
  • Serves as a primary point of contact for general HR inquiries and directs employees to appropriate resources.
  • Assists with tracking and reporting HR metrics, evaluations, departmental deadlines, and employee milestones including anniversaries and birthdays. Provides reporting to executive leadership as requested.
  • May assist with the facilitation of employee recognition program rewards as directed.
  • Facilitates the launch of introductory period evaluations and annual evaluations.

Recruitment & Onboarding Support

  • Assists with recruitment activities by coordinating candidate interviews, including phone screenings, hiring manager interviews, and peer interviews, while ensuring timely communication with candidates and internal stakeholders.
  • Assists with onboarding processes including new hire paperwork, I-9 compliance, orientation scheduling, and required documentation.
  • Supports processes associated with the collection and tracking of immunization requirements for new hires.
  • Ensures timely enrollment of new hires into recognition programs and maintains accurate records for transfers, promotions, status changes, and terminations.

Benefits Support

  • Serves as a back-up presenter for new employee benefit orientation, including collecting paperwork and processing benefit information with carriers as needed.
  • Saves carrier bills on the benefits drive and communicates availability to the Finance team for reconciliation.
  • Assists with benefit billing reconciliation, open enrollment coordination, and employee benefit communications.
  • Creates electronic communications for leadership and employees using provided EAP resources.
  • Serves as an administrative resource for employee benefit questions and escalates complex issues as appropriate.

Leave Administration Support

  • Provides administrative support for leave of absence processes including documentation collection, tracking, and system updates, escalating eligibility determinations and complex issues to the HR Generalist.
  • Supports leave case administration and record maintenance to ensure compliance with all applicable requirements.
  • Tracks time off in the HRIS and other applicable tracking systems.
  • Uploads all Safety Incidents/First Reports of Injury into the HRIS.
  • Preserves confidentiality of employee medical documentation and files.

HR Projects & Departmental Support

  • Supports cyclical HR initiatives such as performance evaluations, compliance projects, employee programs, and annual HR processes.
  • Assists with event coordination, HR reporting, departmental administrative projects, and employee engagement efforts.
  • Maintains compliance with federal, state, and local employment laws and regulations, as well as HR best practices.

Qualifications

Education: Post-secondary education is required. Bachelor's degree in human resources or related degree preferred.

Experience: Minimum of 2 years of experience in Human Resources, Office or Administrative Assistant in a professional environment, or related field. Relevant demonstrated experience may substitute education requirements.
