Provide administrative and operational support to the Human Resources department across key functions including recruitment, onboarding, employee records, benefits administration, and compliance. The HR Coordinator is responsible for the accurate and timely processing of payroll for all refinery employees, utilizing the Kronos workforce management system. This role ensures compliance with federal, state, and local payroll regulations, maintains accurate payroll records, and provides excellent service to employees regarding payroll-related inquiries while supporting Ergon's "Doing Right" culture of Respect, Integrity, Result, Humility, and Trust.
Associate's or Bachelor's degree in Human Resources, Business Administration preferred, or related field (or equivalent combination of education and experience).
0–2 years of HR or administrative experience, preferably in a corporate environment.
Basic understanding of HR policies and employment law fundamentals
Computer experience in Microsoft Windows and Microsoft Office programs including Outlook, Excel, and Word with the ability to learn new computer programs as related to Job responsibilities
Excellent communication and organizational skills
The ability to provide and comprehend written and verbal instructions
The ability to learn and understand basic refining principles as related to charge and yield, shift work, and shift scheduling
The ability to work as part of a team to accomplish projected goals
Responsibilities include the following:
Compliance with all applicable privacy laws and company policies regarding data protection is required.
HR team members – to coordinate HR processes and share information
Hiring managers – to schedule interviews and facilitate recruitment activities
Payroll and benefits teams – to ensure timely processing of employee data
Job applicants – to schedule interviews and communicate hiring process updates
Benefits vendors – to resolve employee questions or issues
Maintain accurate tracking and reporting of all payroll and leave (vacation, sick, etc.) for all hourly personnel.
Verifies timecards, SchedulePro and e-log information submitted by employees ensuring that time submitted is accurate and consistent in all systems.
Department Administrator for Kronos and SchedulePro
Generate and distribute reports monthly on overtime, sick leave, attendance, vacation time usage and turnover
Works closely with Managers and Supervisors to maintain vacation schedule including assigning new employees, changing shift schedules, positions, updating training schedule, and publishing new schedules
Utilize employee recap report from E-Log to maintain and update Kronos with accurate employee time, vacation and sick leave accruals for all hourly personnel
Work closely with L&D to limit scheduling employees outside their shift
Work with refinery personnel to ensure data provided is accurate and timely
Work closely with Corporate payroll to ensure accuracy of payroll
Identify, escalate and track system issues until proper resolution
Serves as a back up to the front desk
Other duties as assigned by the HR Manager
