Job Summary

The Human Resources Coordinator supports the Human Resources department in HSPPR's mission-driven, animal welfare nonprofit environment. This role plays a key part in maintaining accurate employee records, assisting with recruitment for a wide range of positions-including animal care, field services, veterinary, and administrative roles-and supporting employee engagement initiatives that promote morale, connection, and compassion resilience. The HR Coordinator serves as a welcoming point of contact for employees while upholding confidentiality, accuracy, and professionalism.

Key Duties and Responsibilities

Employee Records & Compliance

  • Maintain accurate, complete, and confidential employee personnel records in compliance with organization, state, and federal requirements.
  • Enter, update, and audit employee data in the HRIS with a strong emphasis on accuracy and timeliness.
  • Process and file HR documentation including new hire paperwork, job changes, leaves, and separations.
  • Support compliance with record retention, confidentiality, and internal policies.

Recruiting & Hiring Support

  • Assist the HR Generalist with recruitment and hiring activities for diverse nonprofit roles, including animal care, animal control, veterinary services, and administrative positions.
  • Coordinate communication with candidates and hiring managers.
  • Conduct initial phone screenings to assess qualifications, availability, and alignment with the organization's mission and values.
  • Support job postings, applicant tracking, and recruitment reporting.
  • Assist with onboarding activities to help new team members feel welcomed and connected to the mission.
  • Coordinate New Hire Orientation activities, including presenter schedules, employee scheduling, and lunch.

Employee Engagement & "Social Squad" Coordination

  • Support employee engagement and morale initiatives that recognize the emotionally demanding nature of animal welfare work.
  • Coordinate logistics for employee events, recognition activities, trainings, and celebrations.
  • Actively participate in or support the organization's "Social Squad" or employee engagement committee.
  • Assist with communication and promotion of engagement activities across departments and shifts.

General HR & Mission Support

  • Serve as a point of contact for routine HR questions and provide excellent internal customer service.
  • Assist employees with navigating HR processes in a supportive and respectful manner.
  • Provide administrative support for HR projects, audits, and initiatives.
  • Represent the organization's values of compassion, teamwork, and respect in all interactions.

Other

  • Commitment to the mission, values, goals and success of HSPPR.
  • Appropriately documents observed animal behaviors utilizing objective language as required in relevant procedures and/or policies.
  • Perform all other duties as assigned.

Material and Equipment Directly Used

  • Various computers with Windows software such as Outlook, Word, Excel, PowerPoint and animal shelter software such as Chameleon.
  • Various office equipment such as faxes, telephones, printers, scanners and copy machines.
  • HRIS and ATS software

Physical Demands

  • Regularly sits at computer station, in shared office environment.
  • Must be able to occasionally lift, push, and pull a minimum of thirty pounds (30#) with reasonable accommodations.
  • Must be able to be on feet for extended periods of time.
  • Typically stands, bends, stoops and crouches.
  • Consistently exposed to animals in the workplace and animal allergens under conditions with limited alternatives available.
  • Periodically drives an HSPPR Vehicle to perform duties

Schedule Requirements

  • Five eight-hour shifts – Tuesday through Saturday
  • Must be available evenings, weekends, and holidays as needed.

Education/Experience Necessary

Knowledge, Skills, and Abilities

  • Strong attention to detail and commitment to maintaining accurate records.
  • Ability to handle sensitive and confidential information with professionalism.
  • Excellent organizational and time management skills in a fast-paced nonprofit environment.
  • Strong interpersonal and communication skills, with the ability to engage empathetically with staff.
  • Ability to support employees working in high-stress, emotionally challenging roles.
  • Proficiency with Microsoft Office and HRIS and ATS systems (or ability to learn).
  • Alignment with the organization's mission and commitment to animal welfare.

Education and Experience

  • Able to effectively read, write, interpret, communicate, perform basic problem solving, and perform basic math as commonly expected from completion of a High School Diploma or GED
  • Associate's degree or coursework in Human Resources, Business Administration, or related field preferred.
  • One to two years of administrative or human resources experience preferred.
  • Experience in a nonprofit, animal welfare, veterinary, or field services environment is a plus.
