Role Overview
The HR Coordinator provides essential administrative and operational support to the Human Resources department. The HR Coordinator plays a key role in delivering a consistent, people-first experience for our Trajanites across multiple states.
This role would be fully onsite at our corporate office in Scottsdale AZ.
Duties and responsibilities
- Manage and organize the HR email inbox, triage inquiries, route to the appropriate team member, ensure timely responses, and maintain a structured folder system
- Draft and process employment addendums for merit increases, title changes, and other employment modifications
- Coordinate responses to employment verification requests and unemployment claims in a timely and accurate manner
- Maintain and update HR SharePoint and shared folder structures to ensure organized, accessible, and audit-ready documentation
- Support federal and state workplace poster compliance across all state locations, including updates for regulatory changes and new location setup
- Assist with branded HR document templates, logo updates, and other administrative support materials
- Enter and maintain employee data in iSolved with a high degree of accuracy and timeliness, including new hire setup, status changes, and terminations
- Maintain organized and complete electronic personnel files in accordance with federal and multi-state recordkeeping requirements
- Support iSolved data audits and clean-up to ensure data integrity, compliance, and system accuracy
- Assist with generating HR reports and ad hoc data pulls; support creation of tracking spreadsheets and forms for process documentation
- Support the HR Recruiter with candidate coordination, schedule interviews, communicate with candidates, and manage the applicant tracking workflow
- Post open positions to job boards and internal channels; maintain accurate and current job postings across all platforms
- Coordinate pre-employment background checks, reference checks, and drug screening logistics as directed
- Coordinate the end-to-end new hire onboarding experience, prepare offers, initiate background checks/E-Verify, complete iSolved setup, send welcome communications, and schedule first-day logistics
- Ensure I-9 compliance and employment eligibility verification for all new hires; maintain I-9 records per federal retention requirements
- Coordinate offboarding logistics and paperwork, coordinate final pay with payroll
- Track new hire 30/90/6-Month/1-Year milestones and coordinate check-in reminders
- Distribute employee handbook updates and track acknowledgment completion; maintain comprehensive compliance tracking logs
- Review and approve time-off requests in accordance with company policy and PTO guidelines; escalate exceptions to the HR Director
- Support culture and recognition programs tied to Trajan's T-R-A-J-A-N-I-T-E values
- Contribute to HR special projects, process improvement initiatives, and team communications as assigned
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or related field; or equivalent combination of education and experience
- 1–3 years of HR or administrative experience in a professional office environment
- Strong proficiency with Microsoft Office Suite, particularly Word, Excel, and Outlook
- Exceptional attention to detail and commitment to confidentiality and data accuracy
- Excellent organizational and time management skills; ability to handle a high volume of transactions with competing deadlines
- Warm, professional communication style with a service orientation and genuine care for the employee experience
- Ability to handle sensitive and confidential information with the utmost discretion
- Experience with iSolved or a comparable HRIS platform
- Familiarity with multi-state employment practices and HR compliance requirements
- Experience in financial services, RIA, or professional services environment is preferred
- Comfort working in AI-assisted workflows and a tech-forward HR environment

- $55,000 to 65,000 base salary plus bonus
