The Human Resources Coordinator performs a variety of confidential, administrative and clerical tasks to support with the administration of human resources tasks district-wide. The Human Resources Coordinator will perform complex secretarial duties requiring use of independent judgment and have knowledge of district policies, procedures, programs and organizational structure under supervision while using strong problem-solving skills.

Essential Duties & Responsibilities
|
- Support with the development, implementation, and administration of department and district procedures and policies relating to Human Resources.
- Support with the interpretation and monitoring of policies, regulations and procedures for employees.
- Support with researching information for reports, policy recommendations and related staff issues.
- Support with the implementation and maintenance of human resources policies and procedures relating to recruitment and selection to ensure consistency, equality and legal compliance.
- Support with reviewing and making recommendations to increase outreach for new employees, streamline the recruitment and selection process and reduce employee turnover through effective recruitment and selection processes and practices; attend all in-state and out-of-state annual recruitment trips as needed.
- Support with the maintenance of the District’s Federal Programs; i.e., Title II, NCLB and Highly Qualified Binders; to include inputting staff appropriately certified data in ADE Teacher Application Input system.
- Support with employee certification renewals, fingerprinting, background checks, and E-Verify compliance.
- Prepare job postings via the applicant tracking system.
- Maintain and update documents in the employment section on the District website.
- Assist with the preparation of Board agenda items for monthly meetings and present at the Governing Board Meetings when required.
- Assist payroll in the preparation of the annual SDER as required by ADE.
- Support with the development and maintenance of employee handbooks.
- Assist with the development, revision and maintenance of all job descriptions.
- Complete and respond to requests for verification of employment.
- Assist with the development, management and maintenance of employee records, reports and personnel data and destruction of records aligned to AZ State Record Retention Schedules.
- Assist with conducting new employee orientation sessions regarding all policies, insurance programs, benefits, payroll deductions, handbooks, etc., when appropriate.
- Support with notifying insurance companies of enrollment, deletions, and changes in insurance status of employees, along with changes in beneficiaries; input data for employees online.
- Maintain computerized records, collect and analyze data related to employee benefits.
- Assist the HR Specialist with maintaining and processing insurance benefits in compliance with COBRA, HIPPA, and FMLA and Healthcare Reform regulations.
- Assist the HR Specialist with the creation and submission of the Affordable Health Care Act tax forms.
- Support with administering and maintaining Worker’s Compensation benefits and claims records. Compile and prepare annual OSHA data and send to other campuses/departments for posting.
- Work closely with Business Services staff to coordinate and integrate personnel, benefits, and payroll functions.
- Process and acquire documentation for purchase orders.
- Maintain and order supplies and materials as needed for the department
- Assist the department with maintaining and monitoring the HR budget. This includes placing orders and receiving packages.
- Compose and prepare letters, bulletins, memos, handbooks and forms for department use.
- Maintain the Department’s calendar in Outlook. Maintain a schedule of appointments and make arrangements for conferences, workshops, and meetings; to include meeting agendas, sign-in sheets and handouts as needed for district related meetings.
- Screen phone calls, direct inquiries to the appropriate areas.
- Provide general clerical support including printing, copying, faxing, word processing from rough or final drafts, prepare and process department correspondence, gather and compile data, prepare reports and special projects and answer telephones for the district as requested.
- Attend workshops, seminars, in-service training for continued professional development; stay abreast of new trends and innovations in the field of Human Resources Management.
- Secure and maintain substitute teachers as requested.
- Assist with processing, filing and documenting Cause of Absence forms.
- Provide coverage for the District front office when requested and/or scheduled.
- Perform other job-related duties as assigned by immediate supervisor or district administration.

Licenses or Certifications
|
- A valid IVP Fingerprint Clearance Card
- A valid Notary Certification
- SHRM Coursework preferred
- Possession of a valid Arizona Driver’s License
- Bachelor’s degree in Human Resources, Business Administration or related field preferred
- Three years of experience in all phases of public and/or private sector for Human Resources preferred.
- Equivalent combination of human resource training and/or experience which provides the required knowledge, skills and abilities.

- Possess a high level of English proficiency, including grammar and spelling, for oral and written communications, report writing, preparation of written correspondence and developing and presenting professional development for employees.
- Ability to multi-task with a high degree of accuracy.
- Knowledge of insurance guidelines and regulations.
- Knowledge of the Arizona State Retirement System.
- Knowledge of COBRA, FMLA and HIPAA.
- Proficiency with Microsoft software applications, PowerSchools, TalentEd and iVisions preferred.
- Strong communication skills to work effectively with the general public, administrators, faculty and support staff.
- Strong technology skills and ability to learn new programs quickly.
- Ability to establish and maintain effective working relationships as necessitated by work assignments.
- Ability to organize and set priorities and follow a wide variety of tasks through to completion.
- The working environment is primarily in an office setting with travel to school sites and events as required. Occasional travel out of state for conferences and career fairs.
- Performance to be evaluated in accordance with Governing Board policy on evaluation of classified staff.
