The Human Resources Coordinator supports multiple functional areas within the Human Resources Department for the City of Fort Myers. This position provides administrative, technical, and customer service support by maintaining accurate information within the Human Resources Information System (HRIS) and assisting with recruitment and selection, HR administration, training, organizational development, and risk management-related activities.

The Human Resources Coordinator serves as a contact for employees, employment candidates,  the public delivering confident, responsive, professional customer service. The position supports tasks designed to build competency across the various sub-disciplines of Human Resources and exercises discretion and sound judgment due to the sensitive and confidential nature of information handled.  

No supervisory responsibilities


Responsibilities and Reporting During an Emergency Situation:

Essential Employees may be required to work during a declared emergency. Depending on the nature of the emergency, this may require working around the clock for several days on short notice.

Non Essential Employees will not be required to work during a declared emergency. The employee’s Department Head will determine when the employee will be required to work.

Duties/Responsibilities

General HR Support:

·  Ensures Human Resources activities comply with applicable federal, state, and local laws, City policies, and collective bargaining agreements.

·  Maintains strict confidentiality and exercise sound judgment in all HR matters.

·  Assists with special projects, policy updates, and process improvement initiatives as assigned.

·  Assists with validating and administering wage and salary progressions.

·  Handles requests for comparative market data exchanged with other governmental entities.

·  Maintains employee personnel file records and documentation.

·  Reviews and allocate departmental expenditures related to HR functions.

·  Assist with the paying of HR department bills


Recruitment and Selection:

·  Assists with all phases of the talent acquisition lifecycle, including requisition administration, applicant screening, candidate management, interview coordination, offers of employment, and onboarding in a timely manner

·  Coordinates recruitment activities by posting vacancies, reviewing applications, scheduling interviews, and maintaining applicant communications.

·  Serves as a liaison between applicants and hiring managers to support timely and effective hiring decisions.

·  Maintains recruitment files and applicant tracking data within the HRIS.

·  Represents the City at job fairs, recruitment events, and outreach activities.

·  Coordinates and administers the City’s new hire orientation process.

·  Assists with special employment programs, including the annual Step Up To Work Program.


HR Administration and Customer Service:

·  Provides front-line customer service to employees, supervisors, retirees, applicants, and the public regarding HR policies and procedures.

·  Processes personnel actions and ensures accurate and timely maintenance of employee records.

·  Assists with compliance-related documentation, audits, and reporting requirements.

·  Assists with updating and maintaining job descriptions.

·  Reports new hires to the State.


HRIS and Records Management:

·  Maintains and updates employee data within the HRIS, ensuring accuracy, completeness, and confidentiality.

·  Generates routine and ad hoc HR reports to support operations, audits, and management needs.

·  Assists with HRIS system testing, data validation, and audits.

·  Creates dashboards.

Training, Performance & Organizational Development Support

·  Assists with employee training sessions, orientations, and professional development programs.

·  Maintains the employee training database and monitor completion of required training and certifications.

·  Assists with the performance evaluation system and monitor completion and compliance.

·  Assists with organizational development initiatives, employee engagement activities, and performance management support.

·  Assists with the planning and setup of employee engagement events.

·  This position requires regular and reliable attendance and the employee’s physical presence at the workplace.

·  Performs other duties as assigned.


KNOWLEDGE, SKILLS AND ABILITIES 

  • Knowledge of classification and compensation policies and practices, and of city job descriptions.
  • Ability to develop human resources policies and practices to solve or address issues.
  • Knowledge of databases, report writing and Microsoft Office suite products.
     Ability to function in a team environment by assisting in time-sensitive projects and accepting assignments by other team members as needed to produce a quality departmental product.
  • Ability to communicate effectively, orally and in writing.
  • Ability to make various computations quickly and accurately.
  • Ability to work in a fast-paced environment.
  • Ability to conduct research, complete surveys and prepare reports of findings, and to maintain confidentiality of employee privacy information and data.
  • Experience in interviewing and processing applicants, providing payroll and employee benefit informational data, and other related human resource functions is desired.
  • Ability to complete HR functions and duties with a minimum amount of supervision.
  • Ability to establish and maintain effective working relationships with other employees, City officials, job applicants and the general public is required.
  • Knowledge of City Personnel Rules and Regulations and ability to direct employees to this information when requested.

Minimum Requirements

  • Associate's Degree in Human Resources Management or related field. Experience and/or training that provides the required knowledge, skills, abilities, and essential job functions may be substituted for the degree. 
  • One year of progressively responsible experience in human resource management, administrative support, or related experience.
  • Experience working with HRIS systems and maintaining confidential records
  • Proficiency in Microsoft Office applications.


PREFERRED QUALIFICATIONS 

  • Three years of progressively responsible experience in human resource management working in a Human Resources Department
  • Public sector experience is preferred
  • SHRM Certified Professional (SHRM-CP)

Work performed is primarily:
