Job Summary
Reporting to the HR Manager, the Human Resources Coordinator plays a key role in supporting onboarding and operational HR processes for Professional Staff, including physicians, researchers, fellows, and residents. This position manages end‑to‑end onboarding activities, ensures compliance with institutional and regulatory requirements, and serves as a central liaison between new hires, department leadership, payroll, credentialing, and other internal partners. The role requires strong attention to detail, discretion, and the ability to manage multiple onboarding activities simultaneously.
Qualifications
Onboarding Support
BWH Monthly New Hire Onboarding
1. Establish relationships with hiring departments to create an efficient onboarding process and maintain clear and frequent communication with departments and new hires throughout. Meet with departments to resolve complicated situations such as identifying appropriate job codes, visa issues and start date delays.
2. Monitor the BWH Pro Staff Mailbox answering questions from hiring departments in a timely manner.
3. Onboarding:
a. Complete new hire form, review for accuracy and send to PHS Pro Staff Comp to key into PeopleSoft
b. Collect offer letter, review to ensure compliance with required conditions of employment language.
c. Collect any DESS new hire paperwork and record in DESS tracking spreadsheet
HireRight background checks
e. Responsible for enrolling new hires in NEO via PeopleSoft, tracking changes in start/NEO date due to delays in work authorization, arrival, and occupational health
f. Send welcome email to new employees and answer any pre-employment inquiries
g. Verify Education requirements and job code requirements.
h. Process HireRight national background checks and Cori background checks
i. Monitor Occupational Health Services (OHS) medical clearance for BWH monthly new hires to ensure they are eligible to begin employment which includes: updating BWH new hire database with OHS medical clearance status and ensure new hires are cleared prior to their date of hire.
j. Track changes in start date due to delays in work authorization, arrival, OHS clearance, and update systems accordingly.
4. Process and track non-employee forms for BWH Rotating Clinical Fellows and BWPO Physicians ensure credentialing is complete
Pre-Boarding
1. Complete new hire I-9 for BWH and MGB Resident Monthly Employees
a) Send HireRight link to new hire and ensure Section 1 has been completed by first day of employment
b) Complete Section 2 of I-9 form and collect and upload documentation
c) Meet with new hire in person to verify I9 documentation within 3 days of their hire date
2. Update I-9 information in Hire Right, auditing PeopleSoft record for accuracy, and updating new hire databases
HR Administrative Support
1. Investigate and resolve employee issues related to payroll utilizing HR systems and the central offices.
2. Track new hires without SSN. Upon receipt of SSN, work with employee to add SSN to I-9 in HireRight; process Everify check and update PeopleSoft
3. Assist with updating employee name and address changes.
4. Track education diplomas
5. All other duties, as assigned.

Required Qualifications
Bachelor’s degree preferred or equivalent combination of education and experience
Prior experience in HR, onboarding, or administrative support preferred
Experience working with Workday and Beeline platforms is a plus

High level of attention to detail and accuracy
Ability to handle sensitive and confidential information with discretion
Excellent written and verbal communication skills
Proficiency with Microsoft Outlook, Excel, and other standard office applications
