The Human Resource Coordinator assists the Business Manager and Executive Director to create and sustain an efficient Business Office that is focused on building strong connections of support for all staff and students at READS Collaborative.

Terms of Employment:
•Full time, twelve (12) month in person, position
•Salary Range: $55,000-$65,000 (depending upon experience)
•Hours: 8:00am to 4:00pm
•Non-Bargaining Unit Position

1.Personnel:
a.Works as the main point of contact for all current and potential employees regarding information on benefits, salary, etc.
b.Meets with new hires to ensure proper completion of new hire paperwork, including I-9 verification, benefit enrollment and other onboarding documents.
c.Print employee ID’s for new hires and existing employees, when requested.
d.Ensure all employees complete the annual training course as dictated by READS Collaborative, including conflict of interest training.
e.Draft and send out all employee assignment notices for both school year and summer programs.
f.Responsible for organizing and retaining personnel records
g.Receive and process FMLA and parental leave paperwork. Follow up with required timelines.
h.Send out Employee Assistance Program (EAP) communication and updates annually.
i.Process Workers Compensation claims and track days off for attendance and financial impact on employees.
j.Review and process unemployment claims.
k.Send out annual Stipend opportunities to all staff, and draft appointment letters to those approved by the Executive Director.
l.Maintain the Human Resources pages on the READS Collaborative website.
m.Process request for lane change letters for employees looking to make a lateral move for the subsequent school year. Work with Administrative Assistant to the Executive Director to review transcripts.
n.Post on the READS website, Frontline, School Spring, Indeed, and other platforms as needed.
o.Set any new employees up in Frontline and keep data up to date. Responsible for managing all aspects of Frontline, including employee hiring, set up, and updating points of contact.
p.Coordinate ASL (American Sign Language) interpreting needs for our deaf and hard of hearing staff as it relates to personnel issues, presentations, hiring, benefit changes, etc.
q.Responsible for annual ACA (Affordable Care Act) reporting. Work with payroll company to ensure staff listing is accurate for annual ACA filings.

2.Benefits and Retirement
a.Enroll staff in applicable insurance benefit plans, including flexible spending plans.
b.Remove employees from insurance plans when appropriate and ensure COBRA information has been sent.
c.Process Cobra participation for terminated employees.
d.Assist and enroll employees with voluntary plans, including 403(b) and 457 plans.
e.Work with Business Manager and Insurance brokers for annual insurance renewal meetings.
f.Take the lead in communicating benefit opportunities and ensure all information is sent.
g.Responsible for sending out Open Enrollment information for all insurances, flexible spending plans and tracking changes in participation.
h.Process retirement applications for both Massachusetts Teachers Retirement and State Retirement.

3.Payroll and Accounts Payable Coordination
a.Work with Payroll Associate to process all new hire paperwork questions
b.Work with AP Coordinator to get all insurance benefit invoices paid on time, including:
i.Health Insurance
ii.Dental Insurance
iii.Disability Insurance
iv.Vision Insurance

4.Employee Paid Time Off:
a.Responsible for reviewing employees paid time off in time & attendance system, including tracking exhaustion of sick, personal and unpaid days. Coordinate with Payroll Associate any unpaid leave days when applicable.
b.Process all aspects for requests for Sick Leave Bank, gather data to inform the request and send to the Sick Leave Committee for review.
c.Retain Sick Leave Bank days and annual replenishment per collective bargaining agreements.

5.Bargaining Unit Responsibilities
a.Retain Seniority List and share with the unions no later than November 1st of each school year, per collective bargaining language.
b.Communicate with the union any new hires, resignations and assignment changes.
c.Send a list of all employees paying union dues, when requested.

6.Student Intern Responsibilities:
a.Work with Student Interns on filling out any new hire paperwork.
b.Assist students with obtaining any documentation not completed.
