Job Summary

Provides administrative support for the Human Resources Division. Greets, assists and directs visitors to the appropriate individuals in Human Resources for assistance. Establishes and maintains employee personnel records. Calculates and processes merit increases and union wage progressions. Maintains date sensitive and confidential records. Inputs employee data changes in SAP. Enters disciplinary actions in SAP. Creates purchase requisitions as needed in SAP. Conducts E-Verify checks for new employees to confirm employment eligibility using I-9. Enters KY New Hire Report online. Enters/tracks employee training records for upgrades/promotions. Maintains and processes Education Assistance applications and reimbursements. Monitors employee records to make sure employees obtain/keep certifications/licenses current to meet job requirements. Enters new/renewed certifications/licenses in system of record. Processes and maintains records of P-Card purchases for office supplies, New Hire Orientation lunches, etc.

Essential Job Functions

Provides administrative support to the Human Resources Division. Responsible for filing/maintaining all official personnel files. Prepares or maintains employment records related to events, such as hiring, termination, transfers, or promotions, using human resources management system (SAP). Processes hiring-related paperwork for new employees. Conducts E-Verify checks for new employees to confirm employment eligibility. Conducts I-9 verifications/reverifications/audits. Schedules, participates, prepares, and assists with new employee orientation. Analyzes employment-related data and prepares required reports. Coordinates with outside staffing agencies to secure temporary employees based on the organization’s needs. Processes, verifies, and maintains personnel related documentation, including training records, disciplinary actions, grievances, and performance evaluations. Processes and enters tuition reimbursements and resolves any discrepancies.Prepares and maintains seniority rosters for two labor unions. Processes merit increases, rate adjustments, transfers, promotions, demotions, reclassifications and union wage progressions, and prepares all related correspondence.  Prepares non-union increase worksheets for salary adjustments/negotiations. Prepares memos to employees on job awards and pay/status changes. Prepares and processes employment verifications. Answers telephone and responds to employee inquires. Conducts driver’s license checks. Reconciles and processes payments for designated professional service vendors. Creates/exports various SAP monthly/quarterly reports and compiles other reports as requested for various departments. Maintains employee training records database. Creates sessions and enters training logs/records in ETR System. Runs/exports employee training records reports. Administers testing/scoring as needed. Maintains and tracks all testing/scoring results of job applicants. Maintains education assistance applications and tuition reimbursements for approval and processing of payments. Performs special projects and other duties as assigned.  

Knowledge, Skills and Abilities Necessary to the Work

Knowledge of personnel management principles, techniques and policies; knowledge of federal, state and local laws affecting human resources management; knowledge of the overall operation of MSD; skill in oral and written communication; skill in managing multiple priorities; skill in operating a PC and associated Windows environment software (e.g. Microsoft Office Suite); skill in utilizing and maintaining the Human Resources module of the SAP system; skill in exercising tact and diplomacy; ability to prioritize work effectively; ability to resolve problems; ability to work successfully in a team environment; ability to exercise judgment and discretion; ability to be courteous and helpful under pressure; ability to maintain accurate and confidential records/information.

Minimum Requirements

Associate Degree in business, communication or a related field; three or more years experience in Human Resources or a related field; an equivalent combination of education and experience may be substituted.   Must possess a valid driver’s license.   Must have safe work and driving habits.
