SUMMARY: Under the general supervision of the Human Resources Manager, performs a variety of administrative work in Recruiting, Safety and Workers’ Compensation, and Ergonomics. Acts in a confidential capacity in providing administrative support for the Human Resources Department. 

SALARY RANGE:

  • $70,437.74 - $104,068.64 annually

  • $250 sign-on bonus after the completion of 90 days of employment at IRC with work performance in good standing.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Manage the Recruitment process for assigned Units/Departments
    • Update and create job descriptions, salary analysis, ensure FLSA classification, and update performance evaluations to be reviewed by the Human Resources Manager.
    • Coordinate job postings utilizing in-house applicant tracking system and online recruiting sites.
    • Collaborate with managers to discuss applicants and candidate pool. Participate in interviews upon request.
    • Prepare interview schedule, applicant packets and interview packets for the panel.
    • Answer routine questions regarding available positions.
    • Schedule and administer tests.
    • Conduct verbal job offers, coordinate background checks, and schedule drug screens.
    • In collaboration with the HR Coordinators, prepare new employee paperwork packets for Onboarding.
    • In collaboration with the HR Generalists, coordinate new hire orientation and present PowerPoint presentation on Workers’ Compensation & Safety.
    • Input new hires into the HRIS system.
    • Generate personnel action letters and forward to managers/directors and payroll for proper signatures and processing. Notify necessary departments of new hires, staff updates, and separations.
    • Participate in IRC Hiring Events, external Career Fairs, and any events related to recruiting as assigned.
  • Responsible for Safety and the Workers’ Compensation program related to claims from onset to closure for assigned Units/Departments
    • Report, maintain and monitor all Workers' Compensation case files; follow-up on open cases.
    • In collaboration with the HR Coordinators, ensure that form DWC-1 and supporting documents are offered to the injured employee and completed in a timely manner. Ensure that form 5020, Employer’s report of Occupational Injury or Illness, is completed in a timely manner.
    • Serve as the liaison with employees, Workers’ Compensation carrier and Workers’ Compensation clinic.
    • Evaluate accidents and make recommendations to decrease the likelihood of their reoccurrence.
    • Ensure that all Safety policies, procedures, rules and regulations are adhered to and are regularly reviewed, updated and communicated.
    • Keep up to date with all aspects of relevant safety & welfare at work and communicate relevant changes to management.
    • Provide regular reports to the Human Resources Manager for presentation to the Board of Trustees, and/or Directors on relevant safety activities.
    • In collaboration with the HR Generalists, complete the annual OSHA 300A log.
  • Responsible for processing employee requests for ADA ergonomic equipment through IRC’s vendor, as recommended by the employee’s physician.
  • Assist the HR Manager and participate in event planning for Hiring Events, Open Enrollment, Employee Appreciation Event and onsite mobile clinics and any other event sponsored by the Human Resources Department.
  • Perform as a member of a team, answering questions, sharing expertise and generally contributing to the efficiency and training of the team.
  • Use office equipment appropriately and report the need for any repairs. Keep work area neat and orderly.  Observe all safety rules and comply with IRC’s Injury and Illness Prevention Plan and Workplace Violence Prevention Plan.­­
  • Ability to handle a hybrid work environment consisting of working in the office and remotely at home while maintaining work productivity and efficiency; communicate via telephone calls, video conference calls, emails, and chat rooms.
  • Ability to handle change well and be flexible and adaptable in dealing with interruptions, new priorities, and new assignments.
  • Maintain good attendance and punctuality.
  • Must be able to communicate clearly and concisely; excellent interpersonal, verbal and written communication skills.
  • Utilize agency’s IT systems as assigned, maintaining security and following appropriate protocols, procedures, rules and requirements.
  • Keep manager informed of pending work, work in progress and problems encountered.
  • Update knowledge through readings, briefings and training.
  • Drive vehicle to other office locations to pickup/deliver documents and materials and to assist other clerical support unit(s) as needed or assigned.

MINIMUM POSITION REQUIREMENTS:

  • Bachelor’s degree from an accredited college or university.
  • Minimum 3 years of experience in Recruiting, Safety and Workers’ Compensation, and Ergonomics.
  • In lieu of a Bachelor’s degree, a High School diploma and 4 years of experience in Recruiting, Safety and Workers’ Compensation, and Ergonomics.
  • Basic knowledge of Employment law and Workers’ Compensation laws.
  • Must possess excellent problem-solving skills and ability to lead teams.
  • Must have experience developing and delivering training programs. Must have excellent presentation skills.
  • Must have excellent organizational skills and attention to detail.
  • Computer skills in Word, Excel, and Power Point.
  • Demonstrated ability to type 50 WPM.
  • Ability to establish and maintain effective working relationships with others.
  • Full use of an automobile, possession of a valid California driver's license and liability insurance for the minimum amount prescribed by law or ability to provide for independent transportation.
  • Must have and maintain a safe driving record.
