What can you expect?

As the Human Resource Generalist, you will interface with the Environmental Business Unit (EBU) Human Resource team and other members of the EBU Operations team, working closely to assist with recruitment, onboarding, affirmative action, orientation, benefits administration, performance review tracking, and other compliance-related activities for the Environmental Business Unit. You will coordinate responsibilities with multiple companies and staff to provide direct, high-level HR support, and staffing needs for the EBU.

How will you do it?

  • Maintain current knowledge of and ensure compliance with all applicable Federal, State, and local employment laws and regulations where the company operates.
  • Ensure HIPAA processes are followed by maintaining PII confidentiality.
  • Facilitate recruitment efforts by creating marketing job descriptions, posting job requisitions, and ensuring job postings meet all federal, state, local, and corporate requirements.
  • Creating job profiles and codes in Workday and Costpoint ensuring accuracy of codes.
  • Monitor recruitment process by responding to candidate inquiries and reviewing resumes.
  • Maintain up-to-date knowledge of federal, state, and local laws impacting recruitment and OFCCP guidelines.
  • Coordinate screening of Shareholders at external career sites to identify candidates who may qualify for open positions and determine interest.
  • Follow company applicant tracking and requisition procedures; ensure applicant tracking is up-to-date, and recruitment files are maintained with all required documentation. 
  • Facilitate pre-employment processes: drug testing, background check, and occupational health screening.
  • Communicate with stakeholders about new hire status and details to ensure timely onboarding.
  • Coordinate and manage the onboarding and offboarding processes for new hire employees and employee terminations.  Review of and ensuring all required documents are completed, benefits enrollment, and required supporting documents are filed.
  • Facilitate new hire orientation timely and accurately ensuring smooth transition from pre-hire to employees’ first day through both effective communications, onboarding software application, and engaging employee benefits orientation, and policy presentations.
  • Administer new hire documents, review them for completion, and route appropriately.
  • Review corporate and subsidiary policies with employees and answer any questions they have.
  • Be available for employees to answer questions, help employees to be fully integrated into the company, and ultimately encourage employee retention.
  • Assist in developing, updating, and maintaining job descriptions, including position pricing (using company wage research data) and FLSA status determination.
  • Assist with company compensation analysis in coordination with HR Manager.
  • Maintain department files with company policies and government regulations.
  • Assist with coordination of records for AAPs and OFCCP compliance programs.
  • Assist with EEOC, Vets 4212, and state specific Compliance reporting. 
  • Assist with and ensure compliance with Service Contract Act and Davis Bacon Act requirements by keeping project folders and projects spreadsheet current. 
  • Assist with monthly SCA Vacation accruals, processing to payroll, and communication to employees.
  • Assist with administering employee benefits, including health insurance, retirement plans, and seasonal/rotational employee benefits. Act as a point of contact for benefit inquiries.
  • Assist with the management of seasonal/rotational and temporary employee benefit deductions and annual benefit lookback reviews. 
  • Coordinate and assist with annual Benefits Open Enrollment. 
  • Assist with leave management, including FMLA, personal medical leave, special leave, and Workers Compensation leave, ensuring compliance with company policies and applicable laws.
  • Review corporate and subsidiary policies with employees and address any questions or concerns they may have.
  • Assist with employee compliance training programs.
  • Assist with employee performance evaluation programs, annual performance-based pay increase processing, and performance evaluation-guided training for employees and managers.
  • Assists Human Resources Manager with administrative processing needs, including preparation of company materials, employee correspondence, informational campaigns, and business process documentation as needed.
  • Maintain log of workplace compliance postings and other required documents, ensuring timely updates and postings in all relevant work areas are visible.  Assist with keeping up to date the company policies and government regulations, ensuring accurate filing and documentation.

  • Assist with maintaining employee records in the HRIS system (Workday).
  • Process employee status changes in Workday and ensure integration to payroll is completed.
  • Maintain employee personnel records, and records termination processing
  • Collaborate with departments such as payroll and accounts payable to ensure smooth business workflows and process integration.
  • Process OTP’s or compensation changes as needed and ensure accurate coding and integration to Costpoint.
  • Respond to subsidiary operational requests and formulate an atmosphere of need-solution that supports operational needs and fosters team collaboration.
  • Provide exceptional customer service and follow-up to both internal and external customers to ensure clarity and satisfaction.
  • Attend HR-related training sessions to stay informed of best practices, legal updates, and other relevant HR trends.
  • Travel to project locations or subsidiary offices as needed.
  • Work in a constant state of alertness and in a safe manner.
  • Perform other duties as assigned.

Knowledge, Skills & Abilities

  • Intermediate knowledge of the recruitment processes (job postings, job boards, candidate screening and selection, interviewing, etc.), best practices, and state, federal, and OFCCP compliance programs.
  • Excellent organizational and time management skills with the ability to prioritize, multi-task, and confidentially process and maintain data accurately with minimal oversight.
  • Knowledge of and ability to enforce Federal, State, and company labor and employment regulations in the workplace.

Who is Calista Brice LLC looking for?

Minimum Qualifications:

  • Valid state driver’s license with clean driving record and must be qualified to operate a vehicle under the conditions of Calista Brice’s Driving Policies.
  • Ability to pass a drug, driving and background screenings.

Preferred Qualifications:

  • Bachelor’s Degree in Business, Human Resources, or related field preferred; year-for-year human resources experience may be substituted for four-year degree.
  • Three or more years of human resources experience in two or more functional areas; generalist experience, which includes general business operations, recruitment, and benefits, is strongly preferred.
  • Current PHR certification preferred.
  • Experience with SCA and DBA requirements preferred.
  • Experience with Workday and Costpoint preferred.
