About the Role 

We’re looking for a People Operations Specialist that will serve as a highly dependable and detail-oriented operational partner supporting employee onboarding and workforce documentation and processes. This role is responsible for executing and maintaining critical HR administrative functions with a high level of accuracy, accountability, urgency, and follow-through.

The People Operations Specialist will provide direct operational support to the Employee Resources Manager and play a key role in maintaining onboarding workflows, pre-employment screening processes, employee records, HR systems, and compliance documentation across the organization.

This position operates within a rapidly growing and fast-paced environment with a high volume of transactional and administrative responsibilities. Success in this role requires exceptional organizational skills, strong attention to detail, resourcefulness, responsiveness, and the ability to independently manage multiple priorities with minimal oversight. Core Responsibilities

  • Pre-Employment and Onboarding Processing
    • Coordinate pre-employment screening and onboarding administrative workflows and documentation.
    • Manage pre-employment processes including drug screens, background checks, fit-for-duty examinations, and other onboarding requirements.
    • Roll out, review, process, and maintain employment documentation including I-9s, E-Verify, W-4s, state tax forms, policy acknowledgments, disclosure authorizations, and other onboarding or personnel related documents.
    • Communicate with new hires regarding missing documentation, onboarding requirements, and next steps.
  • Operational Process and Systems Support
    • Provide consistent operational support that enables the Employee Resources Manager and People Team leadership to focus on strategic initiatives, workforce planning, compliance oversight, organizational development, and process improvement efforts.
    • Ensure completion of recurring administrative and transactional workflows to ensure People Operations processes and procedures remain organized, responsive, accurate, and scalable.
    • Maintain employee files, documentation systems, and records in accordance with company standards and regulatory requirements.
    • Review personnel related signed documents for completeness and accuracy, proactively identifying and correcting discrepancies.
    • Set up, maintain, and update employee records within BambooHR and other highly utilized systems.
    • Ensure accuracy and integrity of employee data across platforms and reporting systems.
    • Maintain confidentiality and discretion while handling sensitive employee information and records.
  • Administrative Support
    • Take detailed and organized notes during meetings and operational discussions.
    • Scan, organize, label, file, and securely shred sensitive documentation.
    • Support other People Operations department operational workflows and departmental administrative needs as assigned.
    • Assist with ad hoc assignments and special projects supporting the various People Operations functions.
    • Maintain responsiveness and flexibility in support of evolving organizational priorities and operational demands.


Preferred Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, Communications, or related field preferred.
  • Three to six years of progressive HR, people operations, or HR administration experience.
  • Strong understanding of onboarding, employee documentation, and HR operational workflows.
  • Experience working within HRIS systems and maintaining highly accurate employee records – BambooHR a plus.
  • Exceptional attention to detail and organizational skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple and/or changing priorities and deadlines with minimal supervision.
  • Demonstrated ability of resourcefulness, ability to work independently, problem solve, and present solutions.
  • High level of professionalism, accountability, discretion, and confidentiality.
  • Experience in construction, professional services, or fast-paced operational environments preferred.
