About this Role
HR TRANSACTIONS
Initiate HR related transactions in PeopleSoft such as hires within the department, including Faculty, TEAMS, Post-Docs, OPS including OPS faculty, Graduate Assistants, Student Assistants, Federal Work Study, Fellows, Courtesy/Adjunct appointments, and Volunteers. This includes data entry of all hires, ensuring that the appropriate hire documentation has been completed and forwarded to the Level 1 approver in a timely manner.
Create position descriptions and facilitate requests for reclassifications, special pay increases, and/or new positions requested by the School.
Process lump sum payments, additional pay, relocation reimbursements/housing allowances, leave of absence requests, leave cash outs, terminations/exit checklists, FTE changes, SPI’s, position description updates, administrative and fellowship supplements, etc.
The incumbent will manage time entry and work with supervisors to ensure employees time is entered and approved in a timely manner. He/she will track faculty leave requests and approvals and obtain proper time approval documentation for personnel file. Will monitor payroll reports to ensure employees are paid accurately and timely. Will process emergency check requests if needed.
Assist with tenure and promotion process and other faculty evaluative processes as requested.
RECRUITMENT/HIRING
This position will ensure that approved recruitments are accurately posted (as applicable and necessary, depending on the type of position) through PageUp. For faculty salary plans, this position will work with the Associate Director for Faculty Affairs in all aspects of faculty recruitment including monitoring required search committee compliance training, posting advertisements, and assisting with offer letters. He/she will support all other classifications’ recruitments including postings, reviewing applicant pools, drafting letters of offer, ordering criminal background checks, and facilitating reference checks. The position will monitor selection criteria and work directly with hiring authorities to advise on the proper format and ensure compliance with regulations. Ensure proper work permit is in place for student appointments. Once position is filled, ensure the applicants are dispensed appropriately in UF Careers and that the recruitment is closed out electronically.
Facilitates new hire processes including coordinating relocation/move, all onboarding requirements, and submitting Gator1 card requests.
Provide general guidance and assistance to all School employees regarding human resources policies and procedures.
Liaise with the University International Center Office and University Tax Services for all foreign national hires to ensure all necessary documentation is processed and current to ensure valid work authorization for all current and incoming foreign national employees for H1 and Permanent Resident statuses. Liaise with University Exchange Visitor Services for all foreign national visiting and short-term scholars to ensure all necessary documentation is processed for valid work authorization for all current and incoming foreign national J1 visa holders.
LICENSING/COMPLIANCE/TRACKING
Monitor outside activity forms and immigration statuses, ensuring that all forms are completed accurately and processed timely, and renewals processed timely for immigration compliance.
Oversee monitoring of required compliance trainings to ensure that all department employees remain current on the various trainings per University regulations.
