Description

The Office Coordinator/HR Assistant provides day-to-day administrative support to the manufacturing site. This role is responsible for purchasing and ordering supplies, managing visitors, supporting customer visits, and assisting with employee engagement and onboarding activities. The position is clerical in nature and supports both plant operations and basic HR-related activities.

  

Key Responsibilities

Administration & Purchasing

  • Create and process purchase orders (POs) for plant and office requirements
  • Order supplies through approved vendors and online platforms (e.g. Amazon)
  • Track orders, deliveries, and follow-up on outstanding items
  • Maintain records of purchases, invoices, and supporting documentation
  • Ensure office and plant consumables are stocked and available

Front Office 

  • Check in and register all site visitors in accordance with plant procedures
  • Issue visitor badges and ensure compliance with safety and security rules
  • Assist with customer and external visits, including:
    • Coordinating meeting rooms
    • Arranging meals, refreshments, and catering
    • Supporting  visit schedules as required

HR & Employee Support (Clerical)

  • Assist with employee orientation / onboarding days 
  • Support employee morale and engagement events (planning, coordination, setup)
  • Create and manage door access badges for employees and contractors and gym badges for employees
  • Maintain basic records related to onboarding and employee events
  • Maintain communication boards

General Administrative Support

  • Perform general clerical duties such as filing, scanning, data capture, and record keeping
  • Support plant management with administrative tasks as required
  • Ensure confidentiality of company and employee information
Requirements
  • High School Diploma or equivalent
  • 1–3 years’ experience in an administrative or clerical role
  • Experience in a manufacturing, plant, or industrial environment is an advantage


Skills & Competencies

  • Strong organizational and coordination skills
  • Attention  to detail and ability to manage multiple tasks
  • Comfortable with purchasing systems, online ordering, and basic spreadsheets
  • Good communication and interpersonal skills
  • Professional and friendly manner when dealing with visitors and employees
  • Ability to work in a fast-paced plant environment
