We’re looking for our next Office & Human Resources Coordinator
As an Office & HR Coordinator, you will play a dual role in ensuring smooth daily operations while supporting key human resources functions. You will lead the planning and execution of employee engagement, customer events, and CSR initiatives that foster a positive workplace culture. You will maintain a comfortable office environment while providing administrative support to the leadership team and employees. Additionally, you will support day-to-day HR operations for our office based and offshore team including payroll and benefits administration, compliance, employee questions, travel, and audit support. This role requires a highly organized self-starter who can juggle multiple priorities and bring energy and attention to detail to everything you do.
This role is hybrid which currently includes a mix of working in the office and working from home; however, for the first few months, the individual will be required to be in the office 5 days a week. This role also requires periodic travel to and working from our Freeport base.
Some of the things you’ll be doing
Office Administration & Operations
Ensure smooth daily office operations including facility support liaising with building management, parking and building access, office and kitchen supplies and guest hospitality.
Provide comprehensive administrative support to the leadership team and employees, ensuring consistent and efficient service delivery.
Arrange travel plans and itineraries, calendar management, expense reporting and office invoice processing.
Lead the organization of employee engagement activities, social events, team-building activities, along with corporate meetings, customer and special events, including offsite events as requested.
Align with the wider organization on town halls, knowledge shares, and other company-wide initiatives to ensure a consistent approach.
Support CSR strategy by driving various initiatives throughout the year, including active participation, communicating CSR opportunities to employees, coordinating activities and employee participation, and tracking expenditures.
Manage key vendors and office-related services for the Houston Office and Freeport base.
Human Resources Support
Support HR Operations including fielding day-to-day employee queries regarding HR policies, processes, benefits or other and direct to HR specialist as needed
Coordinate the employee onboarding and offboarding experience including organizing sessions, preparing materials, and ensuring all required documentation is completed.
Coordinate the Marine HR Drug & Alcohol process through monitoring compliance reports, booking appointments and ensuring records are complete and accurate.
Champion local HR processes as guided by the HR team in the areas of performance development, systems, policy reviews, wellness initiatives, audit and compliance.
Support work rotation travel requirements for the offshore team including acting as back up for travel bookings, monitoring PO’s and preparing travel letters.
Support with Marine HR operational planning and reporting including monitoring rotation schedules, hours of work and rest reconciliations, payroll policies, performance and training compliance.
Process payroll submissions and assist with payroll-related administrative tasks and employee benefits coordination as directed by the HR team.
Support HR compliance activities by ensuring employees and training records are kept up to date and accurate.
Assist with ad hoc administrative and HR projects as assigned.
What we are looking for
3+ years of experience in an office administrative and/or HR support role.
Strong organizational and multitasking abilities with excellent attention to detail.
Self-motivated and proactive with a solutions-driven approach to work.
Excellent interpersonal, verbal, and written communication skills.
Ability to build successful relationships with internal and external stakeholders at all levels.
High degree of integrity, discretion, and ability to handle confidential information.
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint).
Positive attitude and ability to adapt to changing priorities in a fast-paced environment.
Strong event planning and coordination skills.
Preferred
Degree in human resource management, business administration, or related field (or currently pursuing).
Experience with payroll processing or benefits administration.
Knowledge of employment laws and HR best practices.
What else you should know
This is a full-time opportunity based in our Houston office located at City Centre with periodic travel to and work from our Freeport base.
