Position Overview:
We are seeking a detail-oriented, proactive, organized, and service-focused Part-Time
Office / Human Resources Coordinator to support the daily operations of our office and
HR functions. This role is ideal for someone who can manage multiple priorities and enjoys
ensuring that both the business and its people run smoothly.
The successful candidate will handle a mix of administrative, facilities, and human
resources responsibilities—ranging from keeping office operations running efficiently to
assisting with new hire set-up to ordering supplies to remote team members.
The position also provides support for the Sales and Marketing teams and will assist with
special projects and administrative tasks as needed.
This position requires you to work in the Austin office for roughly 15 hours/week and may
work additional hours remotely to complete tasks as needed. Weekly hours should not
exceed 30 hours per week.
Job Duties:
Office Management - Manage daily operations of the Austin office, including:
• Perform receptionist duties, including greeting visitors and answering phone calls.
• Assisting employees with office supply/equipment needs.
• Acting as the primary contact for building management and service providers.
• Maintaining office and kitchen supplies (e.g., paper goods, coffee, cleaning
supplies, snacks) and ordering replacements as needed.
• Ensuring copier/printer, and office equipment functionality and coordinating repairs
as needed.
• Coordinating with vendors for security cameras, access cards and other building
systems.
• Keeping offices, break areas and storage spaces neat, clean and organized.
Purchasing & Inventory Management
• Assisting US employees with ordering supplies and IT equipment orders via
approved vendors (i.e., Amazon, CDW)
• Processing supplier invoices, assigning appropriate GL codes, and submitting for
payment.
• Maintaining computer equipment inventory and working with Madison IT to ensure
all U.S. employees have functioning equipment.
Sales/Marketing Support - Coordinating with Marketing and Sales teams to fulfill
equipment and supply requests
• Ship and maintain conference booth set-ups; ensure items are in good condition
and notify Marketing of any needed updates.
• Ship Marketing merchandise to sales teams as requested and maintain appropriate
inventory level in the Austin office.
• Assist Sales team with purchasing and shipping seasonal gifts to clients.
Human Resources Coordination
• Assist Director of Human Capital with recruiting processes as available.
o Screen resumes, schedule and conduct phone interviews, and coordinate
virtual or in-person interviews with hiring managers.
• Coordinate employee onboarding process for U.S. new hires, including equipment
setup, license procurement, and new hire orientation.
• Coordinate off-boarding of terminated employees, including equipment return
processes and IT access termination.
General Admin
• Attend weekly team meetings via Microsoft Teams.
• Serve on the ERIS Engagement Committee, providing input regarding ideas to
maintain and improve employee engagement.
• Assist with storage facility maintenance – coordinating movement or removal of
items as needed.
Event Planning
• Coordinate meals and events for visiting leadership as needed.
• Assist managers with planning events for their teams if requested.
• Conduct post-event reviews to track costs and identify opportunities for
improvement.
• Other duties as assigned
Requirements:
• 3-5 years office administration experience preferred; other relevant experience may
substitute
• 1-3 years’ human resources support experience preferred, preferably in recruiting
• Experience using Microsoft Office Suite 365 a plus, strong electronic file
management skills required.
• Strong verbal and written communication skills
• High level of attention to detail and commitment to accuracy
• Demonstrated positive customer service skills
• Willingness to pitch in and do what it takes to get the job done
• Ability to wear multiple hats and work efficiently to achieve tasks
• Ability to work a hybrid schedule
• Has reliable transportation and is able to drive for errands as needed
Physical Requirements:
• Prolonged periods of sitting at a desk and working on a computer.
• Ability to use hands and fingers to operate office equipment such as computers,
phones, copiers, and printers.
• Must be able to lift up to 30 pounds at times (e.g., office supplies, meeting
materials, small packages).
• Ability to bend, reach, and stretch to retrieve and file documents, stock supplies, or
set up meeting spaces.
• Ability to move about the office to assist staff and visitors.
• Able to drive and run errands outside the office as needed.
