Job Description:

The Business and Finance Business Center seeks a highly motivated, outgoing and dynamic Department HR Specialist Senior to perform professional human resource services in a high-paced and complex department that supports multiple, diverse units. The services provided include, but are not limited to, academic and non-academic staffing coordination, human resource compliance, payroll management, leaves management, internal controls, maintenance and retention of personnel files and other functions designated by the Center.

Salary Range:

$58,000 per year.

Essential Duties:

  • Works closely with assigned departments to develop and implement human resource activities to ensure adherence with university policies, practices and regulations.

  • Communicates with other departments, employees, applicants, administrators and staff regarding recruitment, employment and personnel transactions.

  • Maintains confidentiality concerning personnel actions, legal actions, and organizational changes/plans.

  • Partners with assigned unit managers to coordinate and manage personnel searches, applicant evaluations and hiring.  

  • Responsible for the quality control of payroll processes for assigned units in accordance with policies, procedures and strict payroll deadlines. Identifies and resolves payroll discrepancies.

  • Processes a large volume of personnel transactions for employees paid on multiple funding sources.

  • Prepares and edits correspondence. Ensures maintenance of appropriate personnel records based on department, Office of Human Resources (OHR), state and federal guidelines.

  • Works closely with employees, administration and OHR to coordinate employee leaves of absence and benefits concerns.

  • Advises and assists management and staff in the handling of employee relations issues, complaints and/or grievances and determination of appropriate actions.

  • Performs other duties as assigned to ensure the continuity of department operations and to meet customer service needs.

  • DAYS AND SCHEDULE:  Monday-Friday, 8:00 a.m. - 5:00 p.m. in office for the first month. Thereafter, This is a hybrid position, with three days in office, and two days remote. 

Desired Qualifications:

Experience in:

  • Working effectively in an environment subject to quickly changing priorities, sensitive/confidential information and short deadlines. 

  • Utilizing software including Workday, Analytics Reports, ASU Dashboards, Microsoft Word, Slack, Microsoft Excel, and Microsoft Outlook.

  • Conducting candidate recruitment processes, including preparing announcements, advertisements and information materials.

  • Utilizing Workday as a Timekeeper/Operational Timekeeper and to ensure quality control of payroll process for assigned units in accordance with policies, procedures and strict payroll deadlines.

  • Performing payroll reconciliations.

  • Processing large volume of FMLA and ASU Leaves of Absence.

  • Communicating effectively via email, telephone and in person to answer questions regarding human resources policies and procedures.

  • Establishing and maintaining effective working relationships within and across organizational areas. 

  • Working well under pressure in frequently changing work environments.

  • Planning and establishing priorities.

  • Maintaining confidential personnel files. 

Demonstrated knowledge of:

  • FLSA, FMLA, ACA and University leave policies and procedures.

  • Human resource practices, regulations and standards. 

  • Quality customer service standards, methods and practices. 

Working Environment:

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.

  • Required to stand for varying lengths of time and walk moderate distances to perform work.

  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.

  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.

  • Ability to clearly communicate verbally, read, write, see and hear to perform essential functions.

  • Ability to work well under pressure and frequently changing work environment.

  • Regular use of standard office equipment including but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
