Schedule

Full-Time: Monday-Friday 8am-4:30pm with some flexibility


SUMMARY

The HR Assistant provides administrative support to the Human Resources department by maintaining records, coordinating routine HR processes, preparing correspondence, supporting compliance activities, and assisting employees and managers with general HR-related inquiries. This role helps ensure accurate documentation, timely follow-through, and efficient day-to-day departmental operations.


ESSENTIAL DUTIES AND RESPONSIBILITIES


  • Provide administrative support for daily HR operations, including preparing forms, processing documents, maintaining personnel documents, and ensuring records are accurate, complete, and stored in a timely manner.
  • Assist with pre-employment and employment-related administrative processes, including tracking background checks, verifications, licensing requirements, and other required screenings in accordance with agency procedures.
  • Coordinate HR calendars, meetings, and routine scheduling needs, including logistics and appointments for candidates, while ensuring materials and resources are available.
  • Prepare and distribute routine HR communications, such as appointment confirmations, reminders, notices, and general departmental updates.
  • Support completion of required employment documentation, data entry, and system updates to help maintain accurate employee records and ensure timely processing of HR transactions.
  • Serve as a point of contact for employees, supervisors, and external partners regarding routine HR paperwork, status updates, and general administrative questions, escalating issues as appropriate.
  • Maintain organized electronic and paper filing systems for HR documents in compliance with record retention, confidentiality, and audit requirements.
  • Assist with preparing materials, updating records, and coordinating with internal staff to support compliance and development initiatives.
  • Support internal audits and compliance checks by reviewing tracking systems, identifying missing documentation, and helping ensure deadlines for required records and credentials are met.
  • Assist with recurring compliance activities, including audits and other periodic reviews, according to established procedures.
  • Provide administrative assistance across HR functions during periods of fluctuating workload, learning additional departmental processes to support continuity of operations.
  • Provide front-office and general administrative coverage as needed, including answering phones, managing correspondence, assisting visitors, and supporting staff with routine office tasks.
  • Cross-train in specialized HR processes to strengthen departmental support, improve responsiveness, and contribute to continuous process improvement.
  • Maintain employee confidence by keeping human resource information confidential.
  • Performs other duties as assigned or that may develop.

EDUCATION and/or EXPERIENCE

Required: High School Diploma or GED


Preferred:  Associates Degree in Business and one to two years of administrative, office, or human resources support experience


CERTIFICATES, LICENSES, REGISTRATIONS

Must maintain valid driver’s license and acceptable driving record.
