Description

SCOPE OF RESPONSIBILITY: The Human Resources (HR) Assistant is essential in providing support to the HR team. The HR Assistant is responsible for assisting with simple to complex administrative tasks, data entry, responding to general employee questions, managing digital (HRIS) and hard-copy employee records, preparing reports and coordinating routine employee engagement activities.

ESSENTIAL FUNCTIONS

  • Responsible for data entry in the HR information systems (e.g. Paycom and MyHealthBenefits) and conducts ongoing audits to ensure the highest level of accuracy of the data entered.
  • Creates and ensures comprehensive, organized filing systems.
  • Manages the maintenance of electronic and physical documentation for all employees.
  • Keeps inventory of all HR supplies and maintains organization of HR storage closet. 
  • Assists with all aspects of HR as it relates to data requests, including but not limited to data availability, ad-hoc reports, and technical support.
  • Coordinates employee engagement activities (e.g. Mental Health Awareness Month) and employee recognition activities.
  • Provides customer service support to employees about Wellnest’s Health and Welfare plans, Retirement Plans and Worker’s Compensation.
  • Assists employees with benefits enrollment; providing explanation of benefit eligibility, waiting periods and key program features.  
  • Tracks HR initiatives, projects, and commitments to support timely follow-through.
  • Assists with onboarding, offboarding, and internal HR processes.
  • Performs other administrative duties as assigned.

REQUIRED QUALIFICATIONS

Education and Experience:

  • Associate’s degree in human resources, public administration, public policy or a related field from an accredited college or university. Bachelor’s degree preferred.
  • Minimum of two (2) years of administrative and related work experience. Experience using employee information and applicant tracking software/systems is required.

Certificates, Licenses, and Registrations:

  • Must possess and maintain a valid CA driver’s license and insurable driving record.

Knowledge, Skills, and Abilities:

  • A strong commitment to advancing Wellnest’s mission.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
  • Working knowledge of embedding a diversity, equity, and inclusion lens into HR.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly and timely with excellent attention to detail.
  • Exceptional interpersonal skills and ability to build and cultivate effective relationships with diverse audiences.
  • Highly developed written and oral communication skills with the ability to speak and present information clearly.
  • Forward-thinking and proactive contributor, who actively seeks opportunities and proposes solutions.
  • Excellent data entry and records management skills. 
  • Proficiency with Microsoft Office suite (i.e., MS Word, Excel, PPT, and Outlook).
  • The ideal candidate must demonstrate strong organizational skills and must be comfortable handling diverse administrative duties.

CONDITIONS OF EMPLOYMENT: Employee must maintain a valid California driver’s license and clean driving record that meets Wellnest’s insurance carrier’s criteria for liability coverage. In keeping with Company policy for all employees, the successful applicant must also complete a test for TB, and fingerprint clearance by the Department of Justice.
