SUMMARY:

The Human Resource Assistant – Records/Training has the responsibility of managing participant files and employee training files in accordance with established policies and procedures, state and federal requirements.  The HR Assistant is responsible for updating and maintaining the training database. Assists with processing new hire employees, to include paperwork, fingerprint and background checks. Assists employees and directors with overall training compliance by scheduling classes, assigning participants, and providing compliance reports for directors.

 

DUTIES AND RESPONSIBILITIES:

  1. Maintain participant files in accordance with agency procedures, state and federal requirements.
  2. Input participant information into electronic medical record, in accordance with agency procedures, state and federal requirements.
  3. Maintain agency personnel training files and database in accordance with agency procedures, state and federal requirements.
  4. Ensure files are kept in neat and organized manner.
  5. Responsible for archiving and destroying files, in accordance with agency procedures, state and federal requirements.
  6. Provide monthly training compliance reports to directors and HR Director.
  7. Assists in new hire intake, assigning training classes and processing background checks. 
  8. Assists in hiring process by coordinating job posting on various web sites, review resumes and applications, track in database, route to appropriate program director, and perform reference checks.
  9. Provides clerical support by entering, formatting, and printing information; organizing work; answering the telephone; relaying messages; maintaining equipment and supplies as needed for training. 
  10. Assists HR Director in agency benefits open enrollment.
  11. Assist the HR Director in the planning and implementation of FRA employee events.  
  12. Attends training sessions, in-service seminars, and workshops and staff meetings.
  13. Provides back up support in personnel in regards to all areas of human resource functions (timesheet processing, recruitment, benefits, etc.)
  14. Input employee training information into electronic medical record, in accordance with agency procedures, state and federal requirements.
  15. Implements all agency policies as appropriate.
  16. Attends training seminars, in-service sessions, and staff meetings.
  17. Responsible for maintaining training compliance in accordance with FRA policies and procedures, state and federal regulations.
  18. Provides other support services and duties as necessary.

MINIMUM EDUCATION AND EXPERIENCE:

  1. High School diploma or equivalent.
  2. Three years of office experience, human resources preferred.
  3. Two years’ experience in records maintenance.
  4. Must meet agency insurance criteria for operating agency and personal vehicles on agency business (21 y/o and licensed 3 years).

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

Skill in the use of computers and related software applications to include Microsoft Office products, Word, Excel, Access. Ability to maintain confidentiality regarding participant records and personnel information.   Ability to gather data, compile information and prepare reports.  Ability to work cooperatively and efficiently with agency personnel and general public. Ability to perform duties with attention to detail, thoroughness and accuracy. Ability to operate various office machines, such as copier, fax and 10-key. Must be reliable, flexible and ability to meet agency driving requirements. Must have reliable transportation and maintain a good driving record. Must possess the knowledge and ability to utilize a computer and electronic medical record (EMR) system. Ability to learn new software and hardware applications.

WORKING CONDITIONS:

Medium Work:  Exerting up to 50 pounds of force occasionally and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.

 

PHYSICAL ACTIVITIES:

Reaching:        Extending hand(s) and arm(s) in any direction.

Lifting:            Raising objects from a lower to a higher position or moving objects horizontally from position-to-position.

Repetitive Motions:  Substantial movements (motions) of the wrist, hands, and/or fingers.

Driving:           Minimum standards required by State Law (including license).

  

ENVIRONMENTAL CONDITIONS:

None:              The worker is not substantially exposed to adverse environmental conditions (such as typical office or administrative work)
