Title: HR Assistant

Supervisor: HR Manager

FLSA Status: Non-Exempt Hourly

 

Summary/Objective

The HR Assistant will perform a variety of administrative tasks to support the operation of the HR office.

 

Essential Functions

  • Answers and directs departmental phone calls and emails to appropriate channels.
  • Schedules and organizes appointments; takes minutes during departmental meetings.
  • Proofread and type documents and correspondence produced by the department.
  • Processes required paperwork for employee transfers, changes in job classification, salary increases, and other related employment matters.
  • Preparation of human resource reports such as attendance, new hire, and turnover reports as required.
  • Prepares purchase orders for human resource office.
  • Update HR databases regularly (e.g. Personnel Folder, I-9 paperwork, Leave, NCNS on ADP)
  • Processes required paperwork for Defense Biometric Identification Systems (DBIDS).
  • Assist in payroll distribution and verification of employment and compensation for employees as needed.
  • Coordinate pre-employment drug test of new hires. 
  • Partner and coordinate with the various teams to provide a premier onboarding experience.
  • Support with HR related social media activities.
  • Performs other related duties as assigned.

 

Required Skills/Abilities

  • Excellent organizational skills and attention to detail.
  • Extensive knowledge of office management systems and procedures.
  • Ability to operate general office equipment.
  • Excellent written and verbal communication skills.
  • Ability to type 60 words a minute.
  • Proficient in Microsoft Office Suite or similar software.
  • Ability to maintain confidential information.
  • Administrative training required.
  • Three years of administrative experience required.
  • High school diploma or equivalent required.
  • Bachelor’s degree in business administration, Human Resource Management or related field preferred.

Supervisory Responsibility

This position has no supervisory responsibilities.


Work Environment

This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

 

Travel

Off-island travel is not expected for this position.
