Job Summary:

We are seeking a highly organized and detail-oriented HR Assistant & Office Administrator to support our HR department and manage daily office operations. This role is perfect for a proactive multitasker who thrives in a hybrid work environment and enjoys balancing HR administrative tasks with office coordination.

Key Responsibilities:

1. HR Support:

  • Assist with recruitment coordination (posting jobs, scheduling interviews, conducting reference checks).
  • Maintain employee records (digital and physical files) and ensure compliance with labor laws.
  • Support onboarding/offboarding (preparing new hire packets, conducting orientations, exit interviews).
  • Process HR documentation (contracts, benefits enrollment, performance reviews).
  • Assist with payroll coordination (timesheet tracking, liaising with accounting).
2. Office Administration:

  • Manage front desk operations (handling mail/packages, answering phones).
  • Coordinate office supplies, equipment maintenance, and vendor relations.
  • Organize meetings, conferences, and company events (catering, logistics, scheduling).
·       Scan, label, and store critical documents (invoices, contracts, compliance forms).
3. Compliance & Employee Support:

  • Ensure adherence to federal/state labor laws (postings, filings, I-9 verifications).
  • Serve as the first point of contact for employee HR inquiries (PTO, policies, benefits).
  • Assist with basic IT troubleshooting (liaising with IT support for office tech issues).
Required Skills & Qualifications:

  • Experience in HR administration, office management, or similar roles.
  • Familiarity with NetSuite and MS Office Suite.
  • Knowledge of labor laws and hiring best practices.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Comfortable working in-office 3 days per week (Woodcliff Lake, NJ).
Preferred Qualifications:

  • Associate’s/bachelor’s degree in HR, Business Administration, or related field.
  • Experience with payroll processing or benefits administration.
Working Conditions:

  • Hybrid schedule: 3 days in-office 2 days remote.
  • Occasional light lifting (office supplies, packages).
