The HR Assistant Apprentice provides administrative support to the HR Director, HR Business Partner, and other HR Team Members, ensures that records are kept confidential and compliant with federal and local legislation, and coordinates the day-to-day activities and transactions that occur in the HR office. This position will serve as the primary point of contact for applicants, employees, and other visitors to the CPL Office. As such, the HR Assistant Apprentice will deliver high quality customer service via all channels of communication and will use their best judgment to determine when to consult with management on problems or other issues. The HR Assistant Apprentice will also maintain, audit, and monitor company security and access protocols. As an apprentice this position will also be completing Related Training Instruction that will go toward the attainment of certification and college credits.


Responsibilities

OFFICE MANAGEMENT

  • Creates a warm and welcoming environment for all visitors to the IP&E HR Office
  • Directs visitors to the appropriate individual(s) or takes messages or deliveries for IP&E Employees
  • Schedules HR related meetings/interviews and maintains conference and meeting room bookings.
  • Plans and coordinates Company events and activities such as recognition programs, community support events, etc.
  • Receives and distributes packages and other receivables to the IP&E HR Office
  • Manages IP&E HR office equipment and supply stock and place orders as necessary
  • Develops a strong and positive reputation as a neutral and approachable IP&E HR representative
  • Provides current and prospective employees with information about policies, job duties, working conditions, wages, opportunities for promotion, and employee benefits

RECORDS MANAGEMENT

  • Creates, maintains, and audits employee file records to ensure confidentiality and security of all information
  • Conducts routine audits on regulatory and compliance items, such as I9s, voluntary self-disclosure forms, company-mandated policies, and other similar items
  • Maintains, updates, and audits the HR Information System database to ensure all relevant employee data is entered and accurate
  • Updates and maintains shared file drive to ensure documents and templates are up to date and orderly

HUMAN RESOURCES MANAGEMENT

  • Communicates effectively and demonstrates support for HR decisions and initiatives
  • Conducts employee onboarding activities such as provisioning of paperwork, scheduling drug testing, and coordination of system accesses
  • Conducts employee offboarding activities such as system deactivations, collection of equipment, and paperwork upon employee separation
  • Works in coordination with the HR Shared Services team to ensure that business needs are delivered.


Required Qualifications, Capabilities, And Skills

  • Must possess a valid driver’s license
  • Must have a high school diploma or equivalent
  • Must be a US citizen or resident alien.
  • Must be at least 18 years of age or older.
  • Must have been a resident of Guam for a period not less than three (3) consecutive years before entry into the program.
  • Mayor’s Verification must be submitted upon hire.
  • Must be able to work a minimum of 40 hours per week, while maintaining a minimum of two (2) classes per semester with GCC.


Physical Demands

The physical demands described here are representative of those that must be met by an employee to perform the essential functions of this job successfully. The physical activity of this position includes repetitive motions – making substantial movements of the wrist, hands, and/or fingers.

The physical requirements of this position involve sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.

Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.

For visual acuity requirements including color, depth perception, and field of vision, the worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; viewing a computer terminal; visual inspection involving small defects, small parts, and/or operation of machines.

Working Conditions

The worker is subject to inside environmental conditions: Protection from weather conditions but not necessarily from temperature changes. This job operates in an office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
