The HR Assistant plays a critical support role in the Human Resources department by handling day-to-day operations and contributing to key programs across the employee lifecycle. This role not only ensures administrative consistency and compliance but also actively supports recruitment, onboarding, employee engagement, and culture-building initiatives. This position is intended to grow into a future HR Generalist or HR Manager role, with increasing responsibility over time.
Roles and Responsibilities
Administrative Support
• Maintain accurate and confidential employee records in both physical and digital formats.
• Track and update information in Paycom and internal files and prepare reports as needed.
• Support internal and external audits by organizing and verifying employee files and compliance documentation.
• Prepare offer letters, termination paperwork, and general HR communications.
Recruitment & Onboarding
• Assist with job postings, candidate screening, interview scheduling, and reference checks.
• Create and maintain standard onboarding materials.
• Conduct portions of new hire orientation and ensure smooth integration for new team members.
Performance Management & Employee Development
• Support the administration of the performance review process.
• Track due dates, distribute forms, and follow up with managers and employees.
• Assist in training coordination, including scheduling and materials preparation, particularly for leadership development, skills-based training, and compliance-related sessions.
Benefits Administration
• Help coordinate benefits open enrollment, track employee changes, and support issue resolution.
• Maintain accurate benefits files and assist with related communication materials.
Employee Engagement & Culture
• Plan and coordinate employee events, celebrations, and internal initiatives.
• Administer recognition programs, assist with surveys including engagement surveys and post-training feedback forms, and recommend culture-building activities.
Compliance & Policy
• Support policy rollout and updates, ensuring communication and acknowledgment tracking.
• Maintain labor law postings and assist with compliance-related projects.
• Assist in investigations or corrective action documentation as directed by the HR Manager.
• Maintain OSHA 300 logs and assist with injury and accident report documentation and follow-up.
• Track and maintain records of “days safe” metrics for milestone recognition in accordance with company policy.
Special Projects & Growth Readiness
• Participate in cross-functional HR projects and continuous improvement efforts.
• Develop working knowledge of HR laws, processes, and leadership expectations.
• Provide backup support to the HR Manager and serve as point of contact in her absence, as trained.
Required Skills
• High school diploma or equivalent required; associate or bachelor’s degree in Human Resources or a related field preferred.
• 1–2 years in a Human Resources or administrative support role preferred; manufacturing or blue-collar workforce experience is a plus.
• Bilingual English/Spanish required.
• Strong organizational skills and follow-through.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office (Word, Excel, Outlook); experience with Paycom or other HR software is preferred.
• High level of discretion and professionalism in handling confidential information.
