The Role
Plug is growing fast and we need someone who can grow with us. We are looking for a bilingual HR Assistant + Office Manager to be the operational heartbeat of our team. This role is equal parts people operations and office coordination, built for someone who brings structure to chaos, communicates confidently in English and Spanish, and takes ownership without needing to be asked twice.
Our warehouse and operations team includes Spanish-speaking staff. Fluency in both languages is essential: you will be the connective tissue between leadership and the people who make this business run. You will be the person leadership leans on, employees turn to, and the office runs because of.
What You'll Own
- Own onboarding from offer to day one: every new hire walks in set up for success.
- Process onboarding paperwork: I-9s, background checks, tax forms, benefits enrollment.
- Set up workspaces, equipment, accounts, and tool access for new employees.
- Handle routine HR questions (PTO, benefits, payroll) and escalate complex issues to the Head of Staff.
- Maintain accurate, confidential employee records and HR documentation.
- Support recruiting: post listings, schedule interviews, communicate with candidates, keep hiring managers on track.
- Translate communications and documents between English and Spanish so nothing gets lost.
- Run day-to-day office operations: vendors, facilities, supplies, mail, building access.
- Manage badges, keys, alarm codes, and equipment inventory.
- Coordinate company events, internal communications, and recognition moments.
- Handle offboarding logistics: equipment, access, final paperwork.
- Track software subscription renewals and seat counts.
- Maintain the employee directory and org chart.
What You Need
- 1-3 years in an administrative, HR, office management, or similar role.
- Fluent in English and Spanish: verbal and written, including legal/HR documents.
- Highly organized with strong attention to detail.
- Google Workspace and/or Microsoft 365 fluency.
- High discretion when handling sensitive personnel information.
- Exceptional written and verbal communication.
- Manages competing priorities without losing the details.
- Professional and approachable: you are the face of the office for new hires and visitors.
