Join Our Team as an HR Coordinator! 

Oneida Healthcare is seeking a dedicated HR Coordinator to support our Human Resources team in delivering exceptional employee experiences. Reporting to the HR Operations Manager, you will assist with employee onboarding, orientation events, scheduling follow-ups and meetings, maintaining HR records, and supporting day-to-day HR assigned tasks.

Key Responsibilities Include: 

  • Assist with full-cycle recruitment for clinical and non-clinical positions, ensuring hiring practices align with Oneida Health policies and regulatory requirements 

  • Serve as a key administrative and coordination support for the HR team. 

  • Schedule and coordinate employee-related meetings, follow-ups, interviews, and HR-related appointments. 

  • Maintain, track and follow up on action items related to employee relations, onboarding, and compliance requirements. 

  • Assist with new hire onboarding processes, including preparation, collection, and tracking of required employment documentation. 

  • Maintain confidentiality and collaborate with others professionally 

  • Assist with planning, scheduling, and facilitating new employee orientation events. 

  • Ensure new hire files are complete, accurate, and maintained in accordance with Oneida Healthcare policies and regulatory requirements. 

  • Maintain confidential employee records and HR databases in compliance with healthcare regulations, labor laws, and organizational policies. 

  • Process and track employee documentation related to hires, transfers, status changes, and separations. 

  • Support audits and compliance reviews by organizing and providing requested HR documentation. 

  • Communicate clearly and professionally with staff, leadership, and external partners while maintaining confidentiality. 

  • Perform other duties as assigned  



Qualifications

Qualifications & Experience 

  • Associate’s degree in Human Resources, Business Administration, management or a related field required or an equivalent of 2-5 years’ experience required 

  • Bachelor’s degree a plus  

  • Minimum of 1–3 years of administrative or HR support experience, preferably in a healthcare or regulated environment. 

  • Experience coordinating schedules, meetings, and employee documentation. 

  • Familiarity with employee onboarding, orientation, and HR recordkeeping practices. 

Knowledge, Skills, and Abilities 

  • Working knowledge of human resources principles, employment practices, and confidentiality standards. 

  • Understanding or willing to learn HR compliance requirements applicable to healthcare settings, including privacy and personnel record regulations. 

  • Strong organizational skills with the ability to manage multiple priorities and deadlines. 

  • High level of attention to detail and accuracy. 

  • Proficiency in Microsoft Office applications and HR information systems. 

  • Excellent written and verbal communication skills. 

  • Ability to maintain discretion and handle sensitive information with professionalism. 

  • Demonstrated ability to work collaboratively as part of an HR team while also working independently.Top of Form 

Work Environment 

  • Full-time, hourly position (40 hours per week) 

  • Standard business hours, Monday through Friday 

  • Office-based environment 

Physical Demands 

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions 

  • Frequent use of hands and fingers for typing, filing, and operating standard office equipment. 

  • Must be able to sit and walk for the applicable work duration 

  • Ability to communicate effectively in person, by phone, and electronically. 

  • Visual acuity required for reviewing documents, computer work, and data entry.
