Summary

The HR Coordinator provides administrative and operational support to the Human Resources function at Dart Bank. This role is responsible for managing employee lifecycle processes related to onboarding, HRIS documentation, time-off oversight, and internal communications. The HR Coordinator ensures compliance, maintains accurate records, and supports seamless and professional employee experience from hire through employment changes.

Job Duties

  • Manages the HR inbox and responds to employee and manager inquiries in a timely and professional manner.
  • Coordinates registration and outreach to board members, managers, and employees for sponsorship events and related communications.
  • Assigns, manages, and tracks required employee documentation to ensure all mandatory documents are completed and acknowledged within the HRIS system.
  • Manages internal time-off inquiries and reporting, including oversight of mandatory five (5) consecutive days-away requirements.
  • Maintains Labor Law Posters and Employee Handbook state addendums to ensure compliance with federal and state regulations.
  • Maintains and administers the Bank Notary program.
  • Fully owns employee lifecycle administrative tasks related to new hire onboarding.
  • Collaborates with managers and internal partners to coordinate new hire setup and onboarding logistics.
  • Facilitates and manages New Hire Orientation and Meet the Bank Orientation sessions.
  • Manages the monthly Senior Leadership presentation schedule.
  • Supports contractor request onboarding and documentation management.
  • Monitors and follows up on employee-initiated HRIS status changes (address, marital status, etc.) to ensure accuracy and proper documentation.
  • Maintains accurate and complete personnel records in compliance with confidentiality and record retention requirements.
  • Adheres to all Federal and State laws and regulations, including the Bank Secrecy Act.
  • Other duties as assigned.

Education and Experience

  • Education:
    • Associate or Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • Skills:
    • Strong organizational and administrative skills; attention to detail; knowledge of HRIS systems; effective communication; ability to manage multiple priorities; confidentiality and discretion.
  • Experience:
    • 1–3 years of HR administrative or related experience preferred; banking experience a plus.

Accuracy and Accountability

  • Responsible for the accuracy of employee documentation, HRIS records, time-off reporting, onboarding processes, and compliance-related materials. Must maintain strict confidentiality of employee information.
