Job Title: HR Coordinator
Department: Human Resources
Reports To: HR Manager
FLSA Status: Non-Exempt
Work Setting: On-Site
Schedule: Full-Time, Monday through Friday, 8:30 a.m. to 5:00 p.m.
As the HR Coordinator, you will support day-to-day human resources operations with a primary emphasis on compliance, documentation, and employee life-cycle processes. You will help ensure Alcott maintains accurate, audit-ready records and follows federal, state, and local employment requirements in a nonprofit mental health setting.
• Track, maintain, and audit required employee documentation, certifications, acknowledgments, and licenses.
• Support compliance with federal, state, and local employment laws, including wage and hour, timekeeping, and Fair Chance Act requirements.
• Maintain accurate, audit-ready personnel files and assist with internal and external audits.
• Prepare and support EEO-1 data collection and reporting, as applicable.
• Support compliance-related aspects of onboarding, employee transfers, leaves of absence, and separations.
• Prepare and coordinate termination packets in collaboration with Payroll and Finance.
• Issue Fair Chance Act correspondence and support background check processes.
• Respond to Verification of Employment requests in accordance with policy and confidentiality standards.
• Monitor auto insurance compliance and follow up on missing or expired documentation.
• Maintain accurate employee records within ADP Workforce Now, ensuring all required forms are completed and signed.
• Support timekeeping compliance by tracking missing approvals and responding to routine employee and supervisor inquiries.
• Maintain leave of absence trackers and coordinate documentation, updates, and status changes as needed.
• Coordinate new-hire onboarding with a strong focus on compliance and required documentation.
• Track required credentials and trainings, including CPR, Food Handler’s Cards, Live Scan clearance, and role-specific requirements.
• Manage outgoing HR mail and provide front desk coverage as needed.
• Participate in HR meetings, trainings, and compliance-related activities.
• Perform other related duties as assigned.
Education and Experience
• Bachelor’s or Associate degree in Human Resources, Business Administration, or a related field preferred.
• Minimum of two (2) years of Human Resources experience required.
• Minimum of two (2) years of experience using ADP Workforce Now required.
• Experience supporting compliance, audits, or regulatory reviews is strongly preferred.
Skills and Abilities
• Strong knowledge of HR compliance standards, recordkeeping practices, and confidentiality requirements.
• Exceptional organizational skills with a high level of attention to detail.
• Ability to manage multiple priorities while maintaining accuracy and professionalism.
• Strong written and verbal communication skills.
• Valid California driver license, clean driving record, and insurability under Alcott’s auto liability policy.
• Live Scan fingerprint clearance required.
• Experience supporting nonprofit, behavioral health, or social services organizations.
• Bilingual in English and Spanish.
