Report to: Human Resources Director
Exempt/Non-Exempt: Non-Exempt
Work Schedule: Monday – Thursday, 9:00am – 5:30pm & Friday 8:30am - 5:00pm
General Description/Summary:
Under the direct supervision of the Human Resources Director, the HR Coordinator (HRC) will be responsible for ensuring smooth HR operations by handling day-to-day administrative HR tasks while supporting department leaders and employees with policy interpretation, leave administration, payroll assistance, and compliance-related matters. The HRC will also be responsible for some training and HRIS entry.
Essential Duties and Responsibilities:
HR Administration & Compliance
- Maintains accurate personnel files and process employee status forms and conduct Exit Interviews.
- Support leave of absence administration, (FMLA, STD, FAMLI, etc.). Including tracking and compliance.
- HR Policy Support: Assist with researching and updating company policies and ensure compliance with local, state, and federal employment laws and regulations.
- Assist with special projects, company events, and update labor law postings.
- Provide feedback and submission of Workers Compensation Claims.
Benefits function
- Verify staff eligibility and manage benefits with third-party administrator.
- Ensures compliance with COBRA guidelines by preparing letters and other paperwork as directed; receives and records COBRA insurance premium payments.
- Coordinates health, life and disability insurance enrollments and communicates with service providers concerning routine administration of programs.
- Provide feedback and manage the submission of Workers Compensation Claims
Training
- Schedule, track and report monthly staff training progress for compliance.
- Providing a monthly calendar to management
- Providing list of all employees that require training to ensure he or she is compliant
General Administration:
Conduct needed audits to ensure compliance including for example
- I-9, Driver’s License and ACA compliance.
- Help/Partner to develop, implement, support, and review all Human Resource Department initiatives, policies, procedures, and systems
- Composure and confidentiality are required to handle disciplinary and grievance issues.
- Administrative duties, including upkeep of employee records (attendance, EEO data etc.)
- Support HR compliance efforts, including record-keeping, training tracking, and required postings.
Qualifications & Requirements
- Bachelor’s degree in human resources, Business, or a related field (required).
- 2-3 years of Human Resources or administrative experience (preferred).
- Strong proficiency in Microsoft Word, Excel, PowerPoint, and Outlook (required) and ADP Workforce Now (required).
- Ability to maintain HRIS records and generate reports for compliance.
- Strong knowledge of HR best practices, confidentiality standards, and federal employment laws, including FLSA, FMLA, ADA, and I-9 compliance.
- Experience managing Employment Eligibility Verification (I-9) compliance, ensuring accurate documentation, timely reverifications, and adherence to federal regulations (required).
- Ability to manage multiple projects with shifting priorities and varying scopes.
- Highly flexible, proactive, and capable of anticipating needs.
- Strong problem-solving skills, with the ability to anticipate issues and implement effective solutions promptly.
Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment.
